Job Summary

The Administrative Assistant III at DuraServ reports to the Executive Assistant and supports the Executive Leadership team. This role is crucial for maintaining day-to-day operations and thrives in high-pressure environments, meeting high standards and expectations. Responsibilities include maintaining schedules, bookkeeping, written correspondence, emailing, and managing special projects.

Essential Functions

Communicate and coordinate effectively with Executive Leadership.Manage calendars and schedule appointments efficiently.Monitor and respond to executive emails and other communications while upholding confidentiality and sensitive information.Manage expense reports and other financial documentation for executives.Prepare meeting agendas, take minutes, and follow up on action items.Draft, proofread, and edit correspondence, reports, and presentations.Coordinate travel arrangements, including flights, accommodations, and itineraries.Provide support for special projects as needed, ensuring timely and accurate completion.Serve as a liaison between executives and other departments, facilitating communication and collaboration.Assist in the preparation and execution of company events and meetings.Perform other duties as assigned.

Knowledge, Skills, and Abilities

(K) Proficiency with the full suite of Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new software tools.(A) Strong problem-solving skills with the capacity to make sound decisions independently.(S)  Ability to maintain a high level of accuracy and confidential information when preparing and entering information.(A)  Proven ability to manage multiple priorities in a fast-paced environment.(S) Excellent written communication skills, including drafting emails, reports, and other correspondence.(A)  Ability to remain calm and focused under pressure.(K)  Capability to analyze situations and provide appropriate solutions.(S)  Strong verbal communication skills and the ability to interact professionally with all levels of the organization.(S) Basic understanding of office equipment maintenance and troubleshooting.

Work Environment and Physical Demands 

In the office environment, not a hybrid or remote positionProlonged periods sitting at a desk and working on a computerMust be able to lift up to 15 pounds at times

This job requires no planned business travel.

Education and Experience 

High School graduation or equivalent is required, Associate or bachelor’s degree, preferredCombined experience in Administrative Assistance roles of three to five or more years, requiredProficiency in Microsoft Office 365, Microsoft Excel, Microsoft Word, Microsoft PPTX. etc.
