Administrative Assistant III/ Front Office Clinic Assistant, Davison Health Center
The Davison Health Center houses Health Services, Counseling and Psychological Services and WesWell (Health Education). Health Services provides an array of clinical services for the treatment of illnesses and injuries, as well as wellness and disease prevention. Health Services provides medical care to approximately 50+ students a day with an average of 8,500 visits in an academic year. Services are available six days per week and a physician is on-call 24/7 while classes are in session. Reporting to the Davison Health Center Office Manager, the Administrative Assistant/ Front Office Clinic Assistant performs general medical office and receptionist duties for the Davison Health Center and Counseling and Psychological Services (CAPS) Department. Responsibilities Include: + Serve as primary point of contact for the Davison Health Center. Provide front office reception, welcome, and greet all patients and visitors (students, parents, faculty, professionals, and other constituents, both within and outside of the university) in a prompt, courteous and helpful manner in person or over the phone. + Adhere to all HIPAA and FERPA laws around patient privacy and confidentiality. + Prepare the front office each morning for the arrival of clinic staff and students by completing the daily opening tasks checklist. + Facilitate clinic flow throughout the day by performing clerical and office administration tasks. + Assist patients with scheduling, canceling, and rescheduling appointments. + Close and shut down the front office each evening by performing daily closing task checklist. + Assist the Office Manager with insurance prior authorizations and medical referrals. + Participate in meetings in the health center including staff meetings, quality assurance meetings and other ad hoc meetings as applicable. + Receive and record all incoming medications from pharmacy delivery program, ensure proper storage of refrigerated items and removal of expired medications. This is an on-campus position . This is a .75 FTE position in the Secretarial/Clerical Union scheduled to work approximately 1365 hours annually during the academic year. Minimum Qualifications + Associate degree and a minimum of two years’ experience in front office related tasks or an equivalent combination of education, training, and related experience. + Strong customer service and organizational skills including the ability to coordinate work priorities and demonstrate initiative with effective follow through. + Demonstrated expertise in Microsoft Office programs and proficiency with accurate data entry, spreadsheet creation and analysis. + Ability to establish and maintain effective working relationships with colleagues. + Proven ability to manage multiple tasks with significant attention to detail. + Demonstrated ability to handle confidential matters with discretion. + Effective communication skills. + Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds. Preferred Qualifications + Knowledge of HIPAA and FERPA laws around patient privacy and confidentiality. + Significant experience working with confidential information. + Experience with electronic medical record systems. + Medical Assistant certification.
