Administrative Assistant- IL- Office of the Dean, CDMI
Summary

The Administrative Assistant in the CDMI Dean’s office will deliver excellent customer service to office visitors, applicants, students, and the public. They will collaborate with the Assistant to the Dean, who will prioritize tasks and responsibilities as needed. Additionally, the Administrative Assistant will support CDMI and admissions staff with various admissions-related duties. This position will assist the Assistant to the Dean in organizing CDMI events. This position will report to the Dean, College of Dental Medicine.

Essential Duties and Responsibilities

Greet incoming visitors to the CDMI Admin suite and notify the appropriate person of their Provide quality customer service to all in-office guests and to persons by telephone and email. Assist with departmental mail and Assist with generating and maintaining department Excel statistical Assist with generating department Power Point presentations for internal use (i.e., monthly staff/faculty meetings, internal training events, calibrations) as well as for presentations for use in outside events (i.e., outreach programs, school outreach, recruitment of students). Responsible for general office filing and records management. Monitor office supplies and place Assist with departmental social media marketing Assist with scheduling meetings for CDMI Dean’s Office and CDMI Assistant/Associate Deans as necessary, as well as for multiple CDMI Assist with scheduling visits/interviews for prospective faculty and staff as Assist with scheduling and touring student candidates visiting the CDMI for interviews and informal Provides support and back-up for all CDMI events, including special projects, working collaboratively with CDMI staff and administrators. Organize and schedule Make room reservations as Process and generate inquiry letters and mail MWU information to the general public. Additional duties as assigned.

Education and/or Experience

High School diploma or general education degree (GED) required. Associate’s degree (A.A) or equivalent from two-year College/Technical school desired; 1-2 years of related administrative experience required, preferable in a higher education or professional setting.

Computer Skills

Computer proficiency in MS Office (Word, Excel, Power Point, Outlook). Knowledge of statistical report generation, social media, and database management preferred.
