Provide high-level administrative support to ensure smooth daily operations within the firm.
Responsibilities include managing correspondence, scheduling meetings and appointments, organizing
and maintaining records, and handling phone calls and visitor inquiries. Also assists in preparing reports
and meeting materials, coordinating travel arrangements, and managing office supplies. Additionally,
this role involves downloading and processing invoices and expenses, responding to information requests.
Strong communication, attention to detail, and a pro-active attitude are essential for success in this fast-
paced, client-focused firm.
Administrative - Knowledge of administrative and office procedures and systems such as word
processing, managing files and records, stenography and transcription, designing forms, and teamwork.
Communication Skills – Strong written and verbal communication skills to effectively manage the
flow of information between internal teams, clients, accountants, bookkeepers, financial institutions, etc.
Time Management & Organization – Ability to prioritize tasks, manage time efficiently, and handle
multiple responsibilities, including managing the executive’s calendar and ensuring all tasks are
completed within deadlines.
Attention to Detail – High level of accuracy and attention to detail when managing data, reports, and
documents, ensuring that all information is handled correctly and efficiently.
Problem-Solving & Analytical Skills – Strong ability to troubleshoot and resolve administrative issues
while proactively suggesting improvements.
Team Collaboration – Work collaboratively with bookkeepers, admin, and other finance professionals,
ensuring alignment in processes and timely delivery of results to meet organizational goals.
High School Diploma - or the equivalent (for example, GED)
2-4 years of experience
