The LifeVest wearable defibrillator is worn by patients at risk for sudden cardiac arrest (SCA), providing protection during their changing condition and while permanent SCA risk has not been established. The LifeVest allows a patient’s physician time to assess their long-term arrhythmic risk and make appropriate plans. The LifeVest is lightweight and easy to wear, allowing patients to return to their activities of daily living, while having the peace of mind that they are protected from SCA. The LifeVest continuously monitors the patient’s heart and, if a life-threatening heart rhythm is detected, the device delivers a treatment shock to restore normal heart rhythm.
Brief description:
ZOLL Medical Poland is looking for an Administrative Assistant to join our team who is providing vital assistance to patients who are users of LifeVest and their prescribing hospitals.
Job Description and Areas of Responsibility:
+ Administration of LifeVest patients’ data in databases:
+ Entering, updating, verifying and archiving patient data in the company's systems
+ Database Management
+ Creating reports and overviews about patient data for the needs of the department or supervisor
+ Archiving user data in accordance with the company's procedures and personal data protection regulations (GDPR)
+ Managing incoming correspondence:
+ Receiving and registering incoming correspondence (mail, courier shipments, emails).
+ Sorting correspondence and distributing it to appropriate people or departments.
+ Monitoring and reporting the status of shipments and managing the archiving of correspondence documents.
+ Invoicing and payment management support:
+ Preparing, issuing, and sending invoices to customers according to an agreed schedule
+ Monitoring the timeliness of payments and sending payment reminder letters
+ Creating simple financial reports on the status of invoices and payments
+ Cooperation with logistics partner:
+ Processing, coordinating and monitoring of device returns and dispatches
+ Coordinating returns of equipment for refurbishment and maintenance
+ Technical Department Support:
+ Responding to user inquiries about the use of LifeVest – incoming phone calls from patients
+ Helping LifeVest patients solve technical problems, collecting information necessary to diagnose devices – incoming and outgoing phone calls to LifeVest patients
+ Entering of user and device data into management systems
+ General support / administrational tasks as assigned by the supervisor
Requirements:
+ Degree in commercial education
+ Native Polish speaker and English on a communicative level
+ Good working knowledge of MS Office, especially Excel and confident with ERP systems
+ At least 3 years of past professional experience, ideally as Sales Assistant
+ Experience with healthcare sector and tender management is advantageous
+ Experience working with databases and CRM tools
+ Knowledge of personal data protection rules (knowledge of GDPR is an asset).
+ Accuracy and attention to detail
+ Assertive, respectful, team oriented with well-developed interpersonal skills both internally with co-workers and externally with customers and business partners
+ Empathy and patience in working with patients heterogenic in age
+ Good organization of work and the ability to manage many tasks at the same time
+ Hands-on mentality and persistent approach
Location: based in Warsaw area – the role is hybrid (2-3 days a week work from the office at ul. Bysławska 82 in Warsaw)
