We are looking for an Administrative Assistant to oversee the administrative tasks of our office, Finance team and HR team. Your day would consist of managing office operations, coordinating with vendors, and providing financial and HR support. This is a great opportunity for a motivated and detail-oriented individual to join our team and contribute to our company's growth and success. The position is fixed term until end of 2025. The ideal candidate would be able to start as soon as possible.

About the Role:

In this opportunity as an Administrative Assistant, you will:

Manage day-to-day office operations, including maintaining office supplies, coordinating repairs and maintenance, and ensuring a clean and organized work environment.

Serve as the primary point of contact for vendors, managing relationships, and ensuring timely delivery of goods and services.

Support Financial & HR Operations: processing invoices, and maintaining accurate and up-to-date financial records, ensuring compliance with company policies and procedures.

Develop and implement administrative processes and procedures to improve office efficiency and productivity.

Coordinate travel arrangements, meetings, and events for the team.

Maintain accurate and up-to-date records, files, and databases.

About You:

You’re a fit for the role of an Administrative Assistant if you have the following required qualifications:

Proficiency in both Spanish and English.

Proven experience in managing office operations, vendor relationships, and financial support.

Excellent organizational, communication, and problem-solving skills.

Ability to work independently and as part of a team.

Proficient in Microsoft Office, particularly Excel, Word, and Outlook.

Strong attention to detail, accuracy, and timeliness.

Ability to maintain confidentiality and handle sensitive information.

Successfully pass an extended background check.

Additional preferred qualifications include:

3+ years of experience in an office management or administrative role.

Bachelor’s degree in business administration, Management, or related field.
