This position is responsible for all administrative support to the assigned departments.

 

Essential functions include:

General administrative support for assigned Vice President(s) and their direct reports, including scheduling meetings and appointments, general data entry, information updates, reporting requirements, preparation of routine correspondence, copying and distribution of documents Travel coordination (flights/hotels/transportation), expense reporting, and American Express card reconciliation Support coordination of meetings with internal and external business partners Support expense process in SAP along with purchase requisition and invoicing Manage Purchase Orders including creating and tracking spend Support the general administrative duties in the Parsippany office, along with other administrative assistants, including managing conference room scheduling, ordering materials and office supplies and office visitors Your experience and qualifications

Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered. 

 

Education/Certification/Experience:

Bachelor’s Degree or commensurate experience Minimum 5 years’ experience in an administrative support role for senior executives

 

Preferred Qualifications:

Project management experience. Prior experience in the Pharmaceutical industry


Skills/Knowledge/Abilities:

Experience in fast paced, corporate environment Advanced skill level in MS Office including proficiency in Word, PowerPoint, Excel and Outlook Basic knowledge of teleconference and videoconference services Must be able to maintain the highest level of confidentiality, integrity and discretion Must be able to multi-task and work with changing priorities Excellent verbal, written, organization and interpersonal skills required Client service oriented Detail oriented Demonstrate willingness to accept new tasks and challenges and grow in new areas of responsibility Fluency in spoken and written English is required

 

Travel requirements: some business travel might be required.
