Responsibilities

As an Administrative Assistant - Property Management with Hines, you will provide administrative support to the Property Management and Engineering teams. Responsibilities include, but are not limited to:

 

First point of contact for building tenants, vendors, and visitors. Interact with employees, visitors and vendors with poise and diplomacy.

Respond to tenant questions and requests via phone, email, and ticketing system

Compose various correspondence, documents and reports using proper format, punctuation, grammar, diction, and style. Demonstrate strong attention to detail and proofreading abilities.

Maintain calendars and coordinate meetings and special events for multiple teams

Assist with projects as assigned by Property Manager, Engineering Manager, and Property Accountant

Provide great customer service in a dynamic, fast-paced environment

Coordinates lobby exhibits, special events, special programs, holiday events, tenant breakfasts, gifts, and promotions.

Complies with all written Hines GS and regional company policies

Maintain office and kitchen supply inventory

Manage Conference Room reservation book

Verify, approve, and file COIs for vendors

Update Vendor and Staff Contact lists

Maintain office systems, phones, filing, supply orders, and general office organization

Qualifications

Minimum Requirements include: 

 

High School Diploma or equivalent from an accredited institution; bachelor's degree preferredTwo or more years of experience in an administrative role in a professional office environment

Advanced knowledge of Microsoft Office, strong Excel experience

Budgetary and invoice coding experience preferred

Excellent Customer service skills

Strong attention to detail and follow-through skills in a fast-paced environment

Work overtime as business needs deem appropriate.

Compensation: $61,300 - $75,000 Closing
