The Administrative Assistant plays a key role in providing comprehensive administrative and secretarial support with a high degree of discretion and independent judgment. This position independently prioritizes tasks delegated by the Department Administrator and supports the Radiology and Medical Imaging department to ensure smooth, efficient operations and maintain a high performing department.

Administrative Support:

Answer and screen phone calls, take messages, and direct inquiries appropriately. Serve as the primary administrative support for residency coordinator.  Serve as the primary administrative support for assigned group of physicians. ​Manage calendars and coordinate meetings (in-person or virtual) for assigned physicians.Assist with day of onboarding activities for physicians and radiology staff. Create new hire binders. Assist with Observership and non-colleague processAssist with drafting moonlighting hours for review.Perform data entry and compile information to create reports. 

Communication:

Draft and edit professional correspondence, announcements, and other written materials.

Record Keeping, Projects, and Event Planning:

Preparing and maintaining documents, reports, and presentations as needed for assigned physicians.  Plan and execute events, including department CME activities, both on-site and off-site, utilizing available resources effectively. 

Budget, Inventory, and Equipment Management:

Assist with the preparation of check requisitions, purchase orders, and expense reports.Manage office supply orders and coordinate work orders for department maintenance needs and enter IT tickets as needed.

Training, Mentorship, and Additional Duties:

Cross-trained in all administrative areas in the department and serve as a backup resource for secretarial colleagues as needed. Assist with training and mentoring new staff. Perform ad hoc projects and additional tasks as assigned by the Department Administrator. 

Requirements:

Minimum Education Required: High School Diploma plus training acquired through work experience or education 

Preferred: Administrative or technical background acquired through completion of 2-3 years of college

Minimum Experience:

Required: 3-5 years of previous job-related experience

Preferred: 6-10 years of previous job-related experience

Knowledge, Skills, & Abilities Required:

Excellent communication (written and verbal) and interpersonal skillsExcellent organization and office coordination skillsExhibit great time management skillsExhibit great to problem solving skillsAbility to manage projects with strong attention to detailIntermediate computer skills including experience in Microsoft Office Suite (Outlook, Word, Powerpoint, Excel) and other similar applications.
