**Job Summary**
The University of Michigan School of Dentistry is seeking an Administrative Assistant Senior to provide high-level administrative support to the Sr. Associate Dean, Chief of Staff, and other members of the Leadership Team. This position plays a key role in supporting the day-to-day operations of the Dean's Office, managing calendars, coordinating meetings, organizing office resources, and assisting with leadership initiatives.
The ideal candidate is a highly organized, detail-oriented professional with excellent communication skills and the ability to work both independently and collaboratively in a fast-paced environment. This role requires discretion, adaptability, and a proactive approach to problem-solving.
The position reports to the Chief of Staff and serves as a central administrative resource within the Dean's Office.
**What You'll Do**
**Administrative & Leadership Support**
+ Provide comprehensive calendar management for the Sr. Associate Dean and Chief of Staff.
+ Offer secondary support to other leadership team members as needed.
+ Support key leadership meetings, including scheduling, agenda preparation, minute-taking, and action item tracking.
+ Ad hoc committee support (i.e., the Learning Health Systems (LHS) Task Force, the Staff Forum, the Strategic Planning Committee, and other tasks related to Leadership Meetings).This includes meeting logistics and document management.
**Office & Event Management**
+ Organize and maintain office structure, including files, supplies, and shared resources.
+ Manage and order office supplies, ensuring efficient inventory control.
+ Coordinate and support community-building activities, school-wide appreciation events, and special projects.
+ Serve as a secondary point of contact for the Dean's Suite, welcoming visitors and ensuring a professional office environment

**Dean's Affairs Support**
+ Provide backup administrative support to the Executive Assistant to the Dean for scheduling, correspondence, event coordination, and meeting logistics.
+ Assist with faculty and leadership searches, supporting scheduling, documentation, and communication.
+ Organize and reconcile expenses and financial transactions in compliance with University policies.

**Required Qualifications***
+ Bachelor's degree or equivalent experience in administration, business, or a related field.
+ 3+ years of experience in an administrative role, preferably in higher education or healthcare.\
+ Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
+ Excellent verbal, written, and interpersonal communication skills.
+ Ability to handle confidential and sensitive information with discretion.
+ High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite, Zoom, and financial reconciliation tools.
+ Ability to work both independently and collaboratively in a team setting
**Desired Qualifications***
+ Experience in higher education or healthcare administration.
+ Familiarity with University of Michigan systems (Wolverine Access, M-Pathways, Concur, or similar enterprise systems).Experience in event coordination, faculty affairs administration, or leadership support.

**Work Locations**
This position is located in the School of Dentistry at 1011 N University Ave.
