Job Summary

The Administrative Assistant position provides administrative support to the Property Manager and exceptional customer service to tenants and guests of the Northbank Center. The Administrative Assistant reports to the Property Manager.

Responsibilities* Fields tenant requests and phone callsGreets guests and visitors to the floor and provides directionCoordinate conference room scheduling, use and billingProcess rental payments and conducting monthly invoicingAssist monthly parking payment reconciliationAssist with regular audits of building and parking ramp access controls and assignmentsCoordinate with building security and maintenance to serve the building and its occupantsConduct regular walkthroughs of the building to assess maintenance issues and coordinates with appropriate personnelTrack and follow up regarding Facilities Management, Department of Public Safety and Information Technology Services work ordersDepartmental process and procedure development, maintenance and improvementMaintain building directories, admittance lists, key inventory, and email listsCreate and assign access cards and keysMaintain break room, coffee and water services, orders and stocks office and break room suppliesBe an emergency responder and maintain AED/CPR and First Aid certificationsUse Yardi Property Management online interface to track billing and lease informationUse Team Dynamix for internal ticket tracking and customer communicationUse S2 and Milestone Software to maintain a secure environmentMaintain webpage and social media accountsMaintain database of space assignments and update floor plansDuring construction and renovation projects, assists with the management of internal requirements and coordinates with facilities and building personnel to ensure as little disruption as possible to building occupantsBe the initial contact for all requests for cleaning, furniture repairs, kitchen problems.Manage property disposition processes.Assist the Property Manager with building leases, marketing and providing tours and documents to potential tenants.Serve as a liaison with facilities and building groups and serves as departmental first point of contact for all facilities issues. Required Qualifications* High school diploma or equivalent4 or more years of administrative office experience2 or more years of customer service experienceKnowledge of Facility Management, Property Management, space planning, or space management is necessary. Desired Qualifications Experience with Microsoft Office Suite, Yardi, Event Management Software (EMS), Google Mail and Google Drive.Experience working in a law office environment, with government contracts, or food service managementAssociates or higher degree in Business, Facilities Management, or related field.
