Administrative Assistant Sr
Description We are seeking a Senior Administrative Assistant for our client's team in Mayfield Village, Ohio. As part of this growing team, you will provide high-level administrative support, handle various office functions, and contribute to the smooth operation of daily, monthly and annual regulatory reporting activities. This role offers a long term contract employment opportunity. Key responsibilities: • Assist in the coordination and scheduling of meetings and events, including location and equipment reservations and the preparation of necessary materials. • Handle travel arrangements, including booking accommodations, managing corporate credit cards, and assisting with travel reimbursements. • Process business-related reimbursements and facilitate special department orders. • Manage customer inquiries and maintain accurate customer records. • Coordinate department events and activities, including the monitoring of expenditures and budgets. • Liaise with the Facilities department for cleaning and maintenance needs. • Oversee the Support Station for the floor, including maintaining supplies, sorting, and distributing mail, and calling for equipment maintenance. • Assist with the onboarding process for new hires and contractors, including ordering IDs and computers, answering questions, and preparing welcome letters. • Develop and maintain various spreadsheets, charts, and lists for reporting purposes. • Develop presentations as needed and assist with the maintenance of various databases and department websites. • Coordinate technical department issues with the Help Desk. • Handle customer applications and monitor accounts, taking appropriate action as necessary. • May be responsible for maintaining department equipment and ensuring equipment is returned after use. Requirements • Proficiency in communication and interpersonal skills • Familiarity with office functions and administrative duties • Experience in reporting and maintaining databases • Knowledge of policy making and implementation • Ability to answer inbound calls and manage inquiries professionally • Experience in handling invoices and budget processes • Skills in materials handling and facility management • Proficiency in using software for spreadsheets, presentations, and graphic design • Familiarity with 'About Time' software for time management • Experience in onboarding new employees and providing deskside support • Ability to manage calendars and coordinate travel arrangements • Knowledge of industry practices and real estate management • Proficiency in Lotus Notes and other monitoring tools • Experience in website management and content creation • Ability to create and interpret charts and graphs.
