Job Description
Provide receptionist, clerical and organizational support in all areas of Student Affairs at the Keokuk Campus as assigned by the Keokuk Campus Director. General duties include, but are not limited to: correspondence, purchasing, records control, assisting visitors and general office operations. Specific duties within the Keokuk Testing Center include: attention to detail, adherence to specific college and government rules and regulations, routine records management, data input, and proficiency with computer applications is required. Strong customer service skills are also required due to extensive communication and interaction with students, colleagues, external partners and the general public.
This is a full-time position with an hourly starting wage of $15.00 per hour. Hours for this position are: Monday 8 am – 6pm, Tuesday – Thursday 8 am – 4:30 pm, and Friday 8 am – 3:00 pm. Benefits include single medical insurance, single dental insurance, $8.00 toward vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid vacation, paid spring and Christmas breaks and participation in IPERS or TIAA retirement plan.
Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCC Education Support Association, employment contract and relevant policies of the Board of Trustees.
The Admissions and Testing Center Administrative Assistant will abide by the employment contract and relevant policies and guidelines of the SCC Board of Trustees.
Essential Duties Summary
• Learn and embrace the comprehensive community college philosophy and related Iowa Code regulations.
• Learn, apply, and role-model all SCC policies and procedures, including but not limited to the strategic goals and expectations of accountability within the Student Affairs Division.
• Contribute toward building a positive team working environment within the Student Affairs Division, treat others with respect and compassion as a representative of SCC .
• Provide exemplary customer service to all visitors and consumers.
• Perform secretarial, clerical, and receptionist duties as assigned by immediate supervisor, including answering and directing phone calls where appropriate, effectively responding to phone/email inquiries with timeliness, greeting all visitors to the department, and maintaining a positive morale within the department.
·• Verify identity and contact information of testers, collect fees, disseminate appropriate materials, proctor, and secure all forms of college-level, computer-based and paper/pencil examinations provided to current students and community constituents as directed. Including but not limited to:
o NEXTGen Accuplacer
o ALEKS
o CNA
o make-up tests
o Various other certification/national examinations and distance learning examinations for other colleges and universities.
• Maintain strict confidentiality, security, and integrity of all student records, tests, and testing procedures.
• Obtain and maintain certification in all administered tests.
• Prepare, facilitate and maintain records on use and frequency of center services.
• Assist with the maintenance of Student Affairs-related web pages in collaboration with division colleagues.
• Schedule appointments, provide general information and respond to inquiries about services.
• Create and maintain correspondence with prospective and current students as needed. This includes gaining familiarity/proficiency with communication management through the student registration system (Ellucian).
• Assist with the coordination of special events and promotions.
• Support Student Affairs processes through data-entry, filing, preparation and distribution of materials.
• Enter placement test scores, and contact information in Ellucian.
• Maintain strict confidentiality, security, and integrity of all records.
• Keep up to date on office communications systems and procedures.
• Apply ethical standards to work situations; make work decisions in accordance with SCC’s values and goals; show respect and sensitivity for cultural differences, and promote a harassment-free environment.
• Embrace and support constructive change; work efficiently and effectively to improve Student Affairs processes and related college operations.
• Develop and maintain effective working relationships with students, colleagues within and outside Student Affairs,
and general public; contribute toward building a positive team working environment; treat others with respect as a representative of SCC .
• Assist with regular department processes in the absence of other employees and assist in other Student Affairs departments as needed.
• Other duties as assigned.
+ Additional Duties Related to Potential Back-up for other Student Affairs Departments
• Import and/or create, monitor, and maintain application files as well as records, reports, and information materials for Admissions.
• Provide aggressive outreach support to the Admissions department at is relates to outreach, recruiting, placement and admission processes.
• Create and distribute campus newsletters, flyers and campus signs as needed.
Required Qualifications
Education:
+ High School diploma/equivalent required.
Experience:
+ Minimum two (2) years related experience within office administration setting required.
+ Understanding of mathematical functions, grammar, punctuation and proofreading required.
+ Excellent interpersonal and communication skills, including telephone/social media etiquette appropriate for a professional workplace.
+ Knowledge of computer software applications specifically Microsoft Office programs with competency in Word &
Excel; ability to learn and develop competency in SCC’s administrative software (Ellucian).
+ Keyboarding proficiency/accuracy and excellent proofreading ability.
+ Ability to:
o Operate standard office equipment and manage filing systems.
o Operate multiline Zoom telephone system.
o Learn and develop competency in new software applications.
o Maintain strict confidentiality.
o Manage, prioritize, and complete multiple tasks with proficiency and timeliness in spite of regular interruptions.
o Work independently and be a self-starter, including conducting research relevant to routine responsibilities and assigned tasks.
o Work effectively, cooperatively, and cordially with people of diverse background and needs.
o Maintain a professional, courteous, and positive demeanor while effectively dealing with varied and stressful situations.
o Ability to work in a strong service environment that is subject to constantly changing priorities.
o Ability to work independently and must demonstrate initiative and self-motivation.
Preferred Qualifications
Education:
+ AA or AAS degree in Office Administration preferred.
Experience:
+ Minimum two years related experience within office administration in an educational setting preferred.
+ Experience managing records, creating/tracking of reports/projects, scheduling appointments and working with confidential information preferred.

o Lift and carry items up to 25 lbs.
