Position Summary: This position supports the Chief Financial Officer/Director of Finance & Supply Chain and provides high-level administrative support to the Director and Division teams by conducting research, preparing presentations and reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings, maintains departmental records and documents, and assists in the preparation of the Director's budget. Position Responsibilities + Assist the Director and the various departments of the division on a daily basis with various tasks. Handle or coordinate all administrative functions, research issues and provide answers/solutions. Compose general correspondence, prepare and maintain various types of documents, reports and presentations. Develop and coordinate various written correspondence and reports as necessary, including meeting minutes. + Prepare purchase requisitions, expense reports and payment requests. Verify accuracy of vendor invoices and submit for payment on a timely basis. Maintain records electronically for Division. + Coordinate various projects and events. This requires coordination of staff, as well as compilation and management of all project documentation, timelines, and presentations. + Assist with various company-wide initiatives including but not limited to, continuous improvement efforts, market research, special committees, and other activities. This includes compiling, analyzing, and presenting information in various reports, charts, and graphs. Develop and/ or review presentations for the Director and staff. + Manage the Chief Financial Officers calendar and assigned meeting room calendars; schedule meetings and assist others in the division with meeting planning and scheduling as needed. Prepare meeting agendas, as necessary. + Assist in the preparation of the Director’s departmental budget and metrics, including developing and maintaining complex spreadsheets and utilizing various tools for tracking, explaining variances, and reporting results on a monthly basis. Coordinate development and tracking of division budgets and other metrics as needed while ensuring data integrity. + Act as a back-up resource for other departments as needed. + Maintain adequate supplies for area. Request service for copiers/printers and other office equipment as required. + Maintain contacts with and manage administrative functions of LCEC Finance & Supply Chain Division relationships with industry associations, vendors/ suppliers, and cooperative partners such as CFC and CoBank. + Proofread letters, contracts, correspondence, newsletters, press releases, reports, or any other document as requested by the Director and Division staff. Perform special projects for the Director to assist her/ him in the effective performance of her/ his responsibilities. + Maintain effective working relationships with employees and customers at all levels within LCEC. Ensure smooth operations, productive communications, and effective understanding during all interpersonal contacts. Provide current and accurate information to all requesters, courteously and in a timely manner. Education + Associate's Degree Business Administration or other related field (Required) or + Bachelor's Degree Accounting or Business Administration or equivalent combination of education and experience in a professional corporate environment. (Preferred) Experience + Prior work experience in a professional business environment (Required) and + 5+ to 7 Years progressively responsible experience in a support position in a business environment. (Required) + 7+ to 10 Years progressively responsible experience in financial environment. (Preferred) + 5+ to 7 Years experience preparing and ensuring accuracy and accountability of division budgets. (Preferred) + Supervisory/office management experience and completion of related professional training. (Preferred) Knowledge, Skills, and Abilities + Advanced proficiency with Microsoft Office Professional Suite is necessary, including Word, Excel, Outlook, PowerPoint, and SharePoint. Advanced Internet skills are also required. (High, Required) + Demonstrated ability to interface with all levels in the organization. Must have an exceptional level of interpersonal skills and professional discretion to handle sensitive and confidential situations and information. Ability to coordinate information and deadlines from many different individuals within and outside of the division.
