About our team:
We are The Raymond Corporation’s Aftermarket Parts Business. We have a Parts Distribution Center (PDC) in Syracuse, N.Y. and four Micro Logistics Centers dispersed around the country. We ship service parts from our facilities to Raymond Service & Support Centers to provide world-class support to our customers and products worldwide.
About the position:
We are looking for an Administrative Assistant, reporting directly to the Aftermarket Director, who operates independently within approved guidelines with minimum supervision. Delivers pertinent information in a timely and accurate manner to support management. The Administrative Assistant must be highly organized, detail-oriented, and able to manage multiple activities promptly and with a high degree of accuracy.
You will:
* Interface with internal and external customers.
* Assist HR partners in Raymond associate-driven events, including distributing communications, implementing and executing activities.
* Schedule and confirm appointments, arrange meetings and rooms, and coordinate and arrange travel.
* Manage Director’s calendar and schedule.
* Host visitors at the PDC.
* Process department paperwork and obtain appropriate approvals in a timely manner.
* Compose routine and complex correspondence and reports.
* Screen/transfer calls and record messages.
* Develop and prepare visual aids such as charts and graphs for presentations at management to executive level meetings that often involve outside companies.
* Handle special administrative projects, such as business proposals, preparation and maintenance of department budgets and weekly reports.
* Monitor reoccurring data and bring unusual activity to the attention of the Director.
* Establish and maintain a variety of files and records.
* Handle sensitive information professionally with respect to confidentiality.
* In the absence of the Director, may direct associates to appropriate sources for clarification on policy-related inquiries.
* Work collaboratively across multiple functions to support departmental needs.
* Regular attendance in the workplace is required for interaction with others and to support teamwork.
* Perform related work as assigned.
About the schedule:
This position is 1st shift and will work Monday – Friday from 8:00AM to 5:00PM.
About the work environment:
Works in an open office setting. This role is fully on-site at our Syracuse, PDC location.
About you:
* Four years of administrative assistant experience.
* Proficient with Microsoft products (Outlook, Teams, Power Point ect.)
* Working knowledge of Adobe Pro, including Adobe Sign and Adobe PDF editing.
* Excellent oral and written communication skills. Often required to interact with top-level management both internally and externally. Often needs to influence others and to resolve sensitive or difficult issues.
* Project management experience.
* Possess problem-solving and decision-making skills.
* Interpersonal Skills that will translate across different departments and locations.
* Detail-oriented, organized, with the ability to multi-task and prioritize to meet deadlines.
* Skilled ability to utilize a variety of office equipment and software.
* Ability to work independently with a can-do attitude ready to support a team.
It would be great if you had:
* An associate degree
* Experience with Ariba and SAP Concur
About the total compensation package:
Wage - $21.89 - $28.02 per hour. Compensation depends on the selected candidate’s skill, education and experience.
