Job Summary

The Administrative Assistant to the Artistic Program is an essential member of the team that helps facilitate the creation and implementation of the artistic program at UMMA. Reporting jointly to the Chief Curator and to the Deputy Director of Public Experience and Learning, you will perform advanced, diverse and confidential administrative duties requiring a flexible, curious and proactive mindset. Occasional evening and weekend work required. This is a term limited position ending June 30, 2026.

Responsibilities*Schedule and manage the calendars of the Chief Curator and Deputy Director of Public Experience and Learning.Assist in coordinating, leading, and following up with actionable items on meetings in the curatorial and public experience & learning departments.Support the Chief Curator and Deputy Director of Public Experience in managing complex project timelines.Manage emails and communicate tone of the Museum while providing necessary information, materials, and assistance to both internal and external colleagues.Support event logistics for a variety of public experience & learning events, staff events as needed.Assist in budget management and tracking.Collaborate and communicate with UMMA colleagues, campus partners, guest curators, and others to ensure the production and delivery of projects and programs.Coordinate travel, per diem, reimbursements, and related arrangements for the Chief Curator and Deputy Director of Public Experience and Learning, as well as for visiting artists and guest curators.Assist in preparing and gathering content (e.g. talking points, overviews, key sources) for meetings and public speaking engagements.Assist the Chief Curator and Deputy Director of Public Experience and Learning in implementing other special projects and programming as assigned.Required Qualifications*2+ years experience in an arts, culture, or non-profit sector;Demonstrated customer service skills;Demonstrated commitment to diversity, equity and inclusion;Demonstrated experience using technology to manage productivity, project management, collaboration and communication, UMMA uses the Google suite, Excel, Zoom, event management systems, and AsanaModes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

This is a term limited position ending June 30, 2026. This position jointly reports to the Chief Curator and the Deputy Director of Public Experience and Learning. There are no direct reports to this position; opportunities to manage interns and/or work-study students.
