Northrop Grumman, Strategic Force Programs Business Unit (SFP-BU) has an opening for an executive assistant (Level 5) to join our team of qualified, diverse individuals. This position will be located on-site in Azusa, California and the candidate will report to the SFP-BU Vice-president. The successful candidate will be a vital member of the team and perform in an administrative leadership role. This position will include but not be limited to arranging meetings, schedules, and calendars; screening inquiries and making proper referrals; and supporting business operating rhythm and operational tasks. The candidate will answer questions relating to office operations; establish operational procedures; and gather, compile, and report on information relevant to the Business Unit.
Essential functions consist of:
• Maintain professional demeanor and act with integrity with all levels of the organization
• Provide support to leadership and team to gather or convey relevant information
• Maintain busy and dynamic calendar for SFP-BU VP and coordinate meetings, including customer visits, over a variety of locations and facilities
• Responsible for maintaining SFP BU calendar and coordinating management meetings
• Coordinating travel arrangements, expense reports and all forms of correspondence
• Plan and provide logistical support to leadership and the leadership team, including scheduling internal and external meetings, coordinating lunch and lunch meetings, and coordinating special events
• Utilizing Microsoft Office Suite for communications, reporting, presentations and other various tasks (i.e. mail merges, coordinate calendars and meetings, assembling presentations, documenting processes and knowledge sharing)
• Procure material and supplies to support organization using corporate card and internal purchasing systems
• Strong interpersonal, organizational and problem-solving skills
• Ability to troubleshoot and work with minimal supervision
• Ability to be an exceptional team player, interface well at all levels in the organization
• Ability to be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently
• Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
• Demonstrates outstanding verbal, interpersonal and written communication skills
• Ability to protect and maintain confidentiality
Basic Qualifications:
• High School Diploma or General Education Diploma (G.E.D) required
• Minimum 8 years of experience as an administrative assistant or performing administrative related work; experience must include supporting executives
• Proficient in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
• Must be able to obtain and maintain a DoD Top Secret Clearance OR SCI Access (US Citizenship Required)
Preferred Qualifications:
• Familiarity with Northrop Grumman (NG) policies and procedures
• Familiarity with NG systems (Concur, iBuy, and other NG tools)
• Advanced proficiency in business and travel expense system (Concur, Edge, or similar) with complex, frequently changing travel
• Active DoD Top Secret Clearance OR SCI Access
