Administrative Assistant (TS with SCI Eligibility Clearance Required)

The Defense Information Systems Agency (DISA) Operations and Infrastructure Center (OIC) delivers and defends the Department of Defense Information Network (DoDIN) Area of Operations DISA (DAO DISA), enabling the warfighter and mission partners to conduct continuous global operations. The OIC is charged with the responsibility to Operate, defend, and sustain DISA's enterprise infrastructure and services.

Our Administrative Assistant is an integral part of the DISA OIC daily operations. We are seeking a well-organized and proactive professional to join our organization in support of our customer with duties including task management, scheduling, travel planning, and technical support during high-level briefings.

Responsibilities

Supports Defense Travel Service (DTS) by completing all training requirements to become an Organizational Defense Travel Administrator (ODTA) responsible for the administration of DTS at the organization level and, as such, assists with overall DTS administration for authorizations and vouchers.

Supports DISA Task Management Tool (DTMT) by working directly to report on all OIC taskers to include NIPR and SIPR-level assignments.

Coordinates assigned OPRs, roles, levels, categories, and priorities to ensure OIC taskers are completed within required suspense times.

Supports calendar management by providing information and de-confliction of scheduling for the office.

Supports conference room management for C6G24, scheduling meetings/events, securing IT support and conference calls.

Supports distribution list currency in Outlook, ensuring dissemination of data is accomplished effectively.

Prepares correspondence through government instructions using correct format, spelling, and grammar for the office.

Assists with event/ceremony coordination to include All Hands, Town Halls, Retirements and Promotions, Very Important Person (VIP)/DV and personal visitors/requests. Secures conference room and meeting spaces, coordinate with Protocol and Business & Development offices to ensure compliance with external visitors. Completes DISA 112s, agendas, scripts, minute-by-minute documents in support of events.

Supports phone/messages: Responsible for the proper handling of telephone calls and messages.

Handles classified materials and/or matters of confidentiality and sensitivity with appropriate level of professionalism and discretion.

Provides report on inputs that are collected (SIPR level) for bi-monthly meetings.

Provides support as a SharePoint User, assisting in all aspects of directorate content, including documents, guides, policies, white papers, and other collateral deemed as content.

Coordinates routing for numerous internal administrative publications such as Policy Letters, Memorandums, Form 9s, DISA 112s and assignment memorandums.

Plans and schedules meetings and appointments, ensuring to manage time and workload prior to scheduling and receipt of necessary read-aheads prior to meeting(s).

Attends meetings and records minutes, emailing minutes within 1-hour of the end of the meeting with link to appropriate SharePoint site.

Qualifications

High school diploma or GED.

Minimum 3 years’ relevant administrative experience.

Demonstrated experience with travel management systems, preferably Defense Travel System (DTS).

Active TS with SCI Eligibility clearance is required.

Demonstrated work experience within Department of Defense or military agencies and a familiarity with how these agencies conduct day to day business operations.

Must be proficient in properly marking classified documents, adhering to disparate classifications of data, and handling of classified information across domains.

Demonstrated ability to communicate effectively, both orally and in writing. Able to work and thrive in a high visibility, fast paced environment.

Demonstrated proficiency in Microsoft Office applications to include Word, PowerPoint, and Excel. Able to write reports, develop metrics, create PowerPoint presentations and manage email correspondence and calendars.

Pay Range

$40 per hour
