Purpose

To assist in the day-to-day operations of the Department of Psychology by providing administrative support for faculty, staff, and students.

ResponsibilitiesWorkday Processing: Assist the department with recruitment and hiring process for all staff and student positions in the department. Process appointments using the Workday system; create job postings; write offer letters; process electronic Background Checks, I-9s, and Visa requests; costing allocation changes; gather performance appraisals for grant personnel receiving benefits; assist with business processes for merit raises and salary increases for grant personnel; process payouts at termination; process assignment changes, reclassifications, and reappointments.Client Guidance: Assists the department in providing general department management. Review internal processes to ensure that they are in keeping with university, state, and federal procedures and laws.  Provide guidance to faculty, staff, and students on policies and procedures relevant to their positions.Business Office Backup: Serve as backup for general Psychology Business Office duties (checking and approving electronic documents, processing package tracking, greeting Business Office visitors, delivering departmental and University information, servicing copiers and printers, helping set up and take down events, sorting mail).Other related functions as assigned.

Required QualificationsBachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED and five years of clerical experience, including one year of experience at the Administrative Assistant level.Proficiency with Microsoft Office applications.Attention to detail and ability to handle concurrent projects, organize priorities, and meet deadlines.Ability to take initiative and work as a team member without day-to-day supervision.Professional demeanor in written and interpersonal communications.Discretion and confidentiality in business dealings.


Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred QualificationsMore than the required years of experience.At least three years of experience performing complex administrative functions.Experience with Workday, UT DEFINE accounting system, and Smartsheet.Knowledge of university structure, policies, rules, and procedures, including accounting policies.

Salary Range

$48,000 + depending on qualifications
