Three years relevant administrative assistant experience or experience in a related field. At least 2 years supporting senior management preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered. Nature & Purpose of Position Performs advanced administrative assistant duties for LEMIT and Executive Director. Primary Responsibilities Provides comprehensive administrative support to senior management, including scheduling meetings, managing calendars, and coordinating travel arrangements. Prepares, edits, and formats documents, reports, and presentations with high attention to detail. Manages and organizes both electronic and physical files. Acts as a liaison between senior management and internal/external stakeholders. Handles incoming communications, including emails, phone calls, and correspondence. Assists with outreach communication on at direction of Executive Director on relevant channels, to include social media. Assists in planning and executing various projects and events. Tracks project timelines, deliverables, and ensure deadlines are met. Maintains and updates databases and spreadsheets. Ensures accuracy and confidentiality of sensitive information. Prepares venues and meeting spaces, meeting agendas, take minutes, and distribute notes or minutes for meetings. Follows up on action items and ensures completion. Tracks staff follow-ups on assignments resulting therefrom. Proactively identifies and resolves administrative issues. Provides solutions to improve efficiency and productivity. Performs other related duties as assigned. Other Specifications Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature.

Position also requires: proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Excellent written and verbal communication skills; Strong organizational and time-management abilities; High level of discretion and confidentiality; Ability to prioritize tasks and work independently with minimal supervision; Strong problem-solving skills and attention to detail; Ability to navigate common social media platforms.
