Administrative Associate - Mt. Kisco Office
Overview Responsible for performing a variety of administrative duties to assist the Senior Officers and Commercial Lending Officers in the area of responsibility. Performs specialized and/or confidential administrative duties related to all the above areas of responsibility. Responsible for completion of related projects. Responsibilities + Coordinate loan closings, and ensure that all necessary fees are collected and documents are obtained. When necessary, close loan transactions or attend commercial real estate closings. + Submit loan documents to Commercial Loan Servicing along with necessary supporting information to ensure accurate and adequate booking of loan(s) to the company’s core operating system. + Receive visitors; direct customers to the proper person or assist them personally by obtaining information, arranging appointments, or referring them to appropriate individual. Place telephone calls to assist officers as needed. + Assist with answering telephone calls; takes messages and utilizes the current banking core information system to answer internal and external questions. + Assist with sorting of mail; evaluate and route as necessary. + Draft, proofread and distribute communications such as standard letters/memos within scope of authority or in officers’ absence. Responsible for meeting minutes and agendas. + Compile data and prepare operational or departmental reports (i.e. Business Development, Board of Directors and Credit Committee); copy and distribute. + Work with Lending Officers on revisions and maintenance of the Loan Policy Manual. + Organize and maintain records, files, documents, correspondence, forms, reports and other related information, often of a confidential nature. Keeps record of file declinations. + May assist officers with their community, professional and activity material. + Order departmental supplies and purchasing. + Maintain officer appointment calendars in Outlook as needed; assist officers with scheduling/arranging: meetings, telephone seminars, business luncheons, conferences, business development functions, etc. + Make travel and hotel reservations as directed. + Provides assistance to lenders and staff as needed. + Process miscellaneous ‘department’ expenses, makes arrangements for dept. birthdays, and updates departmental phone listings. + Follows through on special projects, assignments involving research and analysis. + Acts as a liaison between Senior Officers and staff. + Perform other related duties as assigned or directed. Qualifications + High school diploma or GED equivalent. + Minimum of three (3) years’ experience in related positions or comparable continuing education coursework. + Proficient interpersonal and communication skills. + Proficient organization and prioritization skills. + Proficient composition and proofreading skills. + Proficient Microsoft Office and Data Management skills (Word, Excel, Lotus Notes).
