Administrative Associate - Nursing Office Flexible Shift

Position Summary:
We have an exciting opportunity to join our team as a Administrative Associate - Nursing Office Flexible Shift.

In this role, the successful candidate Performs clerical functions related to Staffing and the Nursing Office. Assists in staffing on a daily basis.
Functions in a dynamic environment which requires customer service and clerical skills. Supports the nursing department by coordinating and participating in activities including, but not limited to scheduling, daily shift reporting, position control, timecard management, and other payroll processes. Duties may vary depending on the needs of Nursing Office and/or services.

Job Responsibilities:

Acts as a resource to nursing leadership for scheduling and payroll systems.Maintain downtime forms including staffing sheet and downtime sick logRecords sick calls in logbook, schedules and staffing sheets, notifies unit and leadership.Prepares companion list, calls for coverage and transcribes to staffing boards.Prepares overtime availability sheets and confirms based on staffing guidelines or leadership request. Sources supplemental staff as indicated by staffing guidelines. Works collaboratively with nursing leadership to assure adequate staffing.Prepares and distributes daily staffing reports and other reports as assignedMaintain accuracy of MyTime transfers (Job Location, Labor, Work Rules, 13th Shift, Overtime, Preceptor, Charge, etc) Timecard exception investigation and correction (Missed punches, inaccurate paycodes, missing/inaccurate transfers, etc) Prepare and circulate time and attendance related reports (late, emergency personal day, late sick call, no call no show, etc) Verify and maintain Roster accuracy (Default unit, assigned shift, pay rule)Assist with maintenance of staff credentials.

Minimum Qualifications:
To qualify you must have a High school diploma or equivalent
3+ years of previous secretarial and administrative experience preferred

Preferred Qualifications:
Experience with electronic medical record system preferred.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $33,778.63 - $43,672.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
