Administrative Clerk

Trotter & Morton Facility Services provides 24/7 preventive and predictive mechanical system maintenance and repair to condominiums, commercial, and institutional buildings.

We are currently looking for a full time Administrative Clerk to join our team!

Roles and Responsibilities

Answer and manage phone calls as needed Order and maintain office supplies Conduct daily audits of purchase orders and preventive maintenance work orders Maintain organized filing systems for various documents Oversee Phone CARE tracking, including Net Promoter Score monitoring Process and mail invoices/statements as required Prepare escalation reports and letters Coordinate and manage monthly filter orders Assist with organizing the annual Golf Tournament Create and maintain Post Start-up Binders Digitize contract agreements for improved accessibility and record-keeping Provide assistance to the Dispatch Team, including vendor follow-ups, customer follow-ups on fixed-price quotes, and purchase order creation for Technicians Support the Accounting Team as needed, including serving as a backup for Accounts Payable

Required Skills

Strong organizational skills and an ability to multi-task Strong attention to detail Excellent verbal and written communication skills Ability to problem solve Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and data analysis tools

Required Experience

Accounts payable and receivable data entry experience High School Diploma Experience in a customer service role would be an asset
