The Administrative Coordinator will coordinate, execute and provide administrative oversight and support to various projects and initiatives for Catalyst @ Penn GSE. This includes, but is not limited to, administrative scheduling and management of the calendars, assisting in the program management, and administrative support for a variety of programs, meetings, and events. In addition, this position will manage various technology platforms, coordinate and support Catalyst meetings, conferences and events, whether virtual, hybrid, or in-person, through catering, event planning and scheduling, registrations, logistical coordination, and technology platform technical assistance. In addition, this position will maintain distribution lists, mailings, websites, and support social media for our programs.
Minor travel & pre-determined nights/weekends will be needed.
Job Description
Responsibilities
+ Coordinate and support Catalyst meetings, conferences and events, whether virtual, hybrid or in-person, through catering, event planning and scheduling, Eventbrite registrations, logistical coordination, and technology platform technical assistance. Provide administrative scheduling support and management of the calendar and travel of the Senior Director of Operations. Support coordination of team meetings and other activities of Catalyst. Support departmental supplies purchases and with budget reconciliation.
+ Provide administrative and program support of the Milken Penn GSE Education Business Plan Competition (EBPC) including managing the application and judging process and platform, supporting the applicants throughout the judging process, and cultivating and maintaining the entrepreneur ecosystem.
+ Lead the implementation and support for the team on various technology platforms that serve our communication, presentation, coordination, collaboration, and integration needs as a department.
+ Maintain the Spark database and other distribution lists, Mailchimp communications, website updates, and social media for the programs. Support other programs & projects within Catalyst when needed.
+ Support calendar management, scheduling, and other administrative tasks for the Vice Dean of Innovative Programs & Partnerships.
+ Perform additional duties as assigned
Qualifications
ESSENTIAL:
+ A high school diploma or GED and 5-7 years of strong administrative experience, or equivalent combination of education and experience.
+ Exceptional written and interpersonal communication skills, with attention to detail at the forefront
+ Openness to learning new technologies and systems
+ Fluency in with Office 365 (Word, Excel, PowerPoint) and Google Drive
+ Willingness to receive feedback, provide feedback, and be adaptable
+ Proven track record of collaboration and problem-solving
PREFERRED:
+ 7-10 years of administrative and/or event planning experience.
+ Experience with Penn systems
+ High energy and results-oriented

Expected Salary Range: $52,000 - $55,000, commensurate with experience.
