The Wallace H. Coulter Center for Translational Research and School of Engineering and Applied Science is seeking an Administrative Coordinator. The mission of the Coulter Center is to support translational research projects and develop models of translation that can be widely adopted. The goals of this position are to support the translational research, innovation, and entrepreneurial programs in the Coulter Center and Office of Research & Innovation and to interface with staff, students, and faculty engaged in the translational process.

Position Overview: This position is to support the Wallace H. Coulter Center for Translational Research and the Office of Research & Innovation for the School of Engineering & Applied Science. The School and Coulter Center are growing new programs to fund, mentor, and sustain faculty and student entrepreneurs. The Coulter Center, in the Department of Biomedical Engineering, funds faculty translational research, supports undergrad industry internships and grants post-doctoral research projects. This role will synergize with The Office of Research & Innovation in the School of Engineering and report to the Associate Director of the Wallace H. Coulter Center and also the Assistant Dean for Innovation & Entrepreneurship. The position involves a blend of administrative support, event planning, marketing, and purchasing responsibilities. The ideal candidate is detail-oriented, highly organized, an excellent communicator, energetic and interested in improving society through technology development. This is a hybrid position with 3 days in the office and 30-40 hours per week.


Key responsibilities for The Wallace H. Coulter Center for Translational Research:

Coulter Center Board Meetings:

The Center has an annual funding cycle and external funding Board with industry executives. This is a very important feature of the Center and requires excellent communication and attention to detail.

In collaboration with the Coulter team, organize agendas for quarterly board meetingsCommunicate with project team leaders to gather relevant informationCoordinate travel, accommodations, meals, and venue arrangements for board members

Coordinate Center Activities and Initiatives:

Assist in planning meetings, conferences and events for the CenterOrganize events for the Coulter Fellowship and Postdoctoral Scholars ProgramsServe as a liaison between Coulter Center and the department of BME, School of Engineering, School of Medicine and work with students involved with programming (Fellows and Scholars)Submit reports and prepare proposals and presentations as neededManage emails, announcements, letters, packages, phone calls, and other forms of correspondence

Center Purchaser:

Serve as the purchaser for the Center, handling procurement of supplies and servicesCollaborate closely with the Associate Director of the Center and the Department of Biomedical Engineering on procurement and purchasingProcess Workday requisitions and purchase orders for the Center Support for Center Directors:Assist Associate Director and Managing Director with travel logistics, including booking flights, hotels, and transportationManage reimbursements and expense reportingHelp schedule and attend meetings as needed

Coulter Media and Marketing:

Develop and organize content and ideas for media and marketing purposesMaintain and update the Center's social media platforms and materials

Key responsibilities for The Office of Research & Innovation:

Coordinate office activities and initiatives: The office will launch programs for faculty

and students where planning, logistics, finance, and communication will be very

important.

Assist in the proposal preparation for the office and associated program awardsAssist in the organization and maintenance of program documentationCoordinate program communication and outreach across Engineering departmentsServe as an ambassador for research programs in Engineering to cross-University departments and schoolsAssist with communication to entrepreneurial community members and stakeholders including investors, state and local agencies

Purchaser and administration:

Work with the finance team and serve as the purchaser for project teams, handling procurement of supplies and services, and processing reimbursements.

MINIMUM REQUIREMENTS

Education: High School DiplomaExperience: At least one year of relevant experience

PREFERRED REQUIREMENTS

Bachelor’s degreeMS Office applications, including Outlook, Word, Excel and PowerPointFamiliar with Adobe Creative SuiteStrong written and oral communication skills

The position will remain open until filled.
