About this position:
Position functions as an Administrative Coordinator 4 within the Central Repair Shop serving all District 61 and State-wide Gangs including DOTD HQ sections. Incumbent must be self-motivated and able to perform duties independently with little to no supervision on a regular basis. The incumbent is also expected to exercise a high degree of independent judgement and initiative in determining the approach/action to take in non-routine situations that may arise. This position must possess extensive knowledge of DOTD work activity codes and the roadway system in order to
+ Skill-set should include, but is not limited to one’s; Communication, Attention to Detail, Time Management, Inter-Personal, Adaptability, Flexibility, Problem Solving, Planning and Organization.
+ Equipment used will include general office machines including but not limited to; desktop computer, phone, and 10-key as well as two-way radio, personal computer, fax machine, postage machine, copier, and printers
+ Must be proficiently skilled with working knowledge of SAP, including but not limited to (Plant Maintenance: IW31-Work Order, IW21-Notification, IW42, IK1, IK12, IK17, KB21N; Material Management: MIGO, MB52, MB21, ZLO1269, LaGOV HCM: PTMW, ZT09, ZT11, ZT24, and ZT37. Knowledge of Microsoft Office software is required.
While in official capacity, DOTD employees must comply with applicable Louisiana and Civil Service laws, rules, and regulations, as well as DOTD policies, procedures, manuals, and directives.

Minimum Qualifications
MINIMUM QUALIFICATIONS:
Three years of experience or training in clerical work.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Responsibilities:
55% LaGov, SAP, PM, and other System Responsibilities:
Prepares, enters, and edits Daily Work Reports for District Shop, which includes information on equipment usage and maintenance performed on said equipment as well as man hours spent in Plant Maintenance, PTMW, and Agile systems. Ensures that all maintenance and repair of District Equipment is properly recorded with the correct mileage, work performed, and parts used. Checks daily work reports for the employees’ work hours, overtime, and compensatory leave earned and ensure that they are properly charged out.
15% Reporting:
The Administrative Coordinator is required to prepare special complex reports in assisting the Equipment Superintendent and the Mechanic Supervisor B in compiling data for equipment repair costs and usage. The incumbent is responsible for the management of Equipment Inventory, ensuring all equipment is correctly assigned and all equipment transfers are handled in an efficient and effective manner. The Administrative Coordinator compiles reports not Non-Stock Material usage and reconciles said report with Maintenance and Construction Gangs concerning items used for District Equipment, such as Non-Stock Materials, Incumbent is responsible for gathering, disseminating, and coordinating information from phone bids for equipment repairs up to $5,000, ensuring jobs are handled in a cost effective and time efficient manner. Must follow DOTD purchasing rules and regulations to ensure timely processing of payables; maintain cost controls, and compliance with State Policies and Procedures.
15% Interacting with Public/Safety/Payable Functions:
Incumbent makes independent decisions based on the situation when dealing with a request from the public or a related situation. May serve as a liaison and/or contact person between local government authorities, Vendors, DOTD personnel, and others depending on the nature of the situation. Upon notification of an accident will route employees to assist in movement of damaged equipment. Assists DOTD Staff and Senior Management by responding to inquiries regarding Equipment, including repairs and maintenance work.
10% Parts Department Duties:
Incumbent makes non-routine parts order for automobiles, heavy off-road and specialized equipment when needed following specified guidelines. Incumbent makes requisition of stock parts and supplies from DOTD Central Warehouse when needed. Incumbent maintains LaCart Purchase card agreement and utilizes it at the direction of Mechanic Supervisors or Equipment Superintendent.
5% Other Related Duties:
Work cohesively with department staff ensuring a high level of service for both internal and external customers, including but not limited to ensuring phones are answered and customer needs are addressed in a timely manner. May be required to perform other duties as necessary including, but not limited to emergency/disaster support activities.
