Administrative Coordinator
Description We are offering a contract to hire employment opportunity for an Administrative Coordinator in the construction/contractor industry based in Friendswood, Texas. As an Administrative Coordinator, you will manage various administrative tasks, provide support to the project management team, and maintain customer service relationships. Responsibilities: • Assist with the processing of building permits and utility disconnections and re-connections. • Support the Project Manager in coordinating field activities between the company and trades. • Maintain and update project schedules on Internet-based software, ensuring detailed notes are kept. • Prepare and review project status reports on a daily, weekly, and monthly basis. • Collaborate with the Accounting Department to review monthly billings on all projects as needed. • Order necessary documents such as Elevation Certificates, surveys, site plans. • Assist with change orders, Requests for Information (RFI’s), submittals, and project updates as per specific programs. • Ensure accurate tracking and processing of all documents (plans, permits, utility applications, etc.) on all jobs assigned in a timely manner. • Scan, email, and file documentation for each job on a daily basis, maintaining both digital and hard copies for each job. • Establish and maintain frequent and regular communication with homeowners. • Answer phones and direct clients to the proper person. • Interact professionally with co-workers, suppliers, subcontractors, and customers. • Provide administrative support to the Project Manager and others on the management team as needed. • Work independently and within a team environment on special projects as needed. Requirements • Minimum of 2 years of experience in an Administrative Coordinator role, preferably within the Construction/Contractor industry • Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word • Familiarity with About Time management system is advantageous • Experience in managing C-Suite correspondence and other administrative tasks • Strong customer service skills with an ability to manage queries and complaints effectively • Proficient in data entry tasks with a keen eye for detail • Excellent communication skills, both written and verbal • Ability to multitask and prioritize tasks in a fast-paced work environment • Demonstrated ability to work both independently and as part of a team.
