Kitco Fiber Optics is hiring an administrative coordinator for our National City, CA location to provide assistance to the Technical Services and the Project Management Office who oversee KITCO’s field technicians installing fiber optics and copper on DoD vessels.
This role requires knowledge of office processes, routines, procedures, and equipment. This role requires ability to gain secret clearance.
The role is budgeted at $23-24/ hour. Full time role with benefits starting on Day 1.
Specific description of duties –
Technical Support
Assist in the preparation of technical and financial status reports, technical documentation, test and inspection reports, and other technical reports;Assist with ensuring all Quality Management System (QMS) directives and protocols are followed; liaise with QMS Manager as needed;Assist in the maintenance of project archives and lessons learned;Review and reconcile technician weekly timesheets with daily status reports, and travel events when applicable, ensuring appropriate allocations of time to projects;Review and reconcile technician expense reports, ensuring appropriate allocation of expenses to projects;Receive quotes for, and process, company travel requests; to include booking air fare, hotel accommodations and car rental reservations;Coordinate new employee indoctrination and check in paperwork in concert with HR Manager, IT Manager, and Facility Security Officer;Distribute new employee supplies, tools and safety equipment;Maintain a log of all assigned equipment; perform periodic inventory of tool kits;Work with KITCO property office to ensure tools and equipment are maintained/calibrated;Order materials through appropriate vendors; upon delivery, verify all items have been received; notify Project Manager;Pick-up and deliver tools and materials to job sites as needed.Administrative Support
Perform primary facility phone duties including message distribution;Ensure office machines are in working order and maintained with supplies (copiers, printers, scales, etc.);Perform monthly check of fire extinguishers;Help with maintaining facility signage such as California labor laws, safety information, and emergency exit signs - Coordinate with CA HR;Perform shipping and receiving;Proactively maintain adequate supplies on hand within the facility such as office supplies, break room, restrooms, first aid, and UPS/FEDEX supplies and materials;Assist in keeping the San Diego facility in a clean, safe and orderly fashion;Report any facility issues or repair needs to Contracts Manager - Lights, doors, rugs, door bells, fans, alarms etc.General Support
Conduct work IAW established policies and procedures;Possess a State Driver License (required);Perform any other assignments or tasks as needed or requested by management to assist in accomplishing the organization’s mission, objectives and goals.Education / Specialized training –
High School Diploma and/or Trade school; Associates degree preferred. Three consecutive years administrative work experience. Previous Maritime Industry experience beneficial.Knowledge of Microsoft Office SuiteSecurity Clearance –
Must be able to obtain Security Clearance.Certification / Licenses (as required for the task being performed)
