We are seeking an experienced professional to join our Careline team for a 9-month maternity cover role as a Careline advisor and administrator. This position requires a proactive individual who can provide comprehensive administrative support and ensure smooth operations within the team.
Your responsibilities will include (but are not limited to):
Administration Support: Provide administrative support to the Careline Team by managing consumer fulfillments, handling HCP requests, and coordinating with Business Support Coordinators and suppliers. Ensure the manual is up-to-date with current processes and coordinate the induction process for new team members.CRM System Administration: Maintain the Nutricia Careline CRM system, ensure data accuracy and integrity, maintain records, reconcile open cases monthly, assist with system enhancements, provide systems support, handle new product entries, and train the Careline team in data entry.Invoice and PO Management: Coordinate with suppliers to reconcile invoices and with Business Support Coordinators to raise Purchase Orders and ensure goods are receipted.Support Customers: Provide prompt, empathetic support to consumers, carers, and HCPs, handle enquiries and product complaints, and accurately record information in the CRM database.Stock Management: Order and manage stock for recipe changes, arrange de-tinning of expired stock, assist with sample dispatch, ensure batch traceability, and place orders at IVE.Office Management: Order monthly supplies, maintain Careline support materials and brochures, and send out support materials to consumers and HCPs as needed.Reporting: Prepare regular monthly reports, including HCP support, hospital tenders, export interest, and positive reviews, and back up Single Points of Contact for brand reports.Knowledge Management: Upload and update templates and Q&As in the Knowledge Management System, provide weekly authoring updates, and identify efficiency improvement opportunities.
You are an experienced, solutions-oriented, and empathetic individual with strong customer service ethics. You possess excellent administrative, communication, and organisational skills, and can work both autonomously and within team environments. You demonstrate leadership and a commitment to continuous improvement.
