Are you an experienced administrative professional that is energized by working in a fast-paced global environment where every day brings new challenges and opportunities? We are looking for an Administrative Coordinator in Barcelona, Spain to join the Late Respiratory and Immunology team in BioPharma R&D.

Our growing presence in immunology is focused on five mid- to late-stage franchises with multi-disease potential in rheumatology (including systemic lupus erythematosus), dermatology, gastroenterology and systemic eosinophilic-driven diseases. Our ambition in immunology is to achieve disease control and ultimately clinical remission in targeted immune-driven diseases.

Accountabilities:

Manage complex calendars for leadership, anticipating and resolving scheduling conflicts for meetings and events.

Collaborate closely with the global admin team across different regions to ensure cohesive support and best practice sharing.

Organize domestic and international travel arrangements, ensuring smooth logistics and compliance with company policies.

Facilitate the seamless onboarding of new employees, ensuring they are equipped with necessary tools and information.

Foster a collaborative environment by supporting cross-team communication and engagement, promoting high performance.

Assist in the planning and logistics of live and virtual meetings/conferences, ensuring all technical and material needs are met.

Develop and optimize administrative processes, sharing insights and expertise to enhance efficiency.

Act as the main contact for Barcelona site events and facility inquiries, ensuring prompt resolution and support.

Enhance communication channels on site, ensuring clarity and timeliness of information distributed.

Update and maintain important documents, ensuring information is current and accessible.

File and track expense reports and supply orders accurately, ensuring timely completion and payment.

Essential Skills/Experience:

High School Diploma or GED required.

Experience in an administrative role supporting complex projects.

Strong organizational, forward-planning, and stakeholder management skills.

Excellent verbal and written communication skills.

Impeccable professionalism, business acumen, and organizational savvy.

Proactive approach and ability to manage and prioritize multiple tasks.

Attention to detail and high standard of work.

Experience in event planning and management.

Diary management for Senior Leaders.

Global acumen – working across time zones.

Proficiency in Microsoft Office Suite and SharePoint.

Ability to interact confidently with executives and employees.

Excellent organization skills, with capability to manage multiple tasks.

Desirable Skills/Experience:

Bachelor's degree.

Prior experience supporting multiple functional leaders.

Experience onboarding new employees.

Significant experience in handling confidential information discretely.

Demonstrated proficiency with virtual meeting technologies.

Strong relationship-building skills.

Relevant training, multitasking, certifications in software, and/or time management.
