Job Description

The candidate will prioritize tasks for multiple executives, manage complex calendars, and handle sensitive business information with discretion.

ResponsibilitiesPrioritize tasks effectively for multiple executivesManage complex calendarsAnticipate challenges and proactively find solutionsThink critically and make informed decisions under pressureCraft professional emails, reports, and presentationsOrganize high-level meetings, prepare agendas, and take minutesWork within Microsoft Office Suite productsHandle sensitive business information with discretion and integrityProtect executives’ schedules and decision-making processesWork independently with minimal supervisionOversee special projectsPlan and coordinate eventsInfluence without authority and build strong relationships across departmentsManage high-pressure situations calmly and efficientlyAdminister a department or program budget, including participating in budget development and establishing fiscal goals and objectivesMonitor various accounts, analyze budgetary trends, and prepare fiscal reports for managementAdvise supervisors on budgetary mattersDevelop and revise work procedures and methods, train employees in work proceduresSupervise subordinate employees in administering program activities, including selection, training, evaluating, counseling, and discipliningPerform departmental or program purchasing administrative functionsPerform space allocation functions, including recommending space reallocation, addition, and renovationServe as a resource for management and employees in interpreting and applying policies and proceduresRefine, develop, implement, and communicate departmental and health care system policies and procedures to employeesInvestigate and resolve specific operating problemsServe as a human resources representative, ensuring compliance with HR policies and procedures, and liaising with Human Resource Services for recruitment, retention, classification, compensation, and employee relations issuesEssential Skills2+ years’ experience as an administrative assistant supporting executive/director level leadershipProficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Strong written and verbal communication skillsExcellent organizational skillsAbility to work independentlyAdditional Skills & QualificationsExperience in budget administration and fiscal reportingAbility to develop and revise work proceduresSupervisory experienceExperience in purchasing administrative functionsKnowledge of space allocation and project monitoringUnderstanding of HR policies and procedures
Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
