Administrative Coordinator
Description We are seeking an Administrative Coordinator for a role based in Tampa, Florida. The individual will play a crucial role in our operations, ensuring smooth coordination of tasks, maintaining effective communication, and providing accurate reporting. This opportunity offers a short-term contract employment opportunity in our dynamic industry. Responsibilities: • Efficiently handle customer credit applications and ensure accuracy • Maintain and update item authorization lists and EDI item cross-references • Monitor and manage store inventory and orders, making necessary adjustments • Verify and comply with Must Arrive by Date (MABD) requirements • Communicate PO edits and invoice confirmations with relevant parties • Aid Sales Consultants with issues related to item inventory and orders • Use OMS for PO validation and monitor the void tracker • Review backordered items on POs and coordinate with Chain Exec or supervisor • Add new items, item numbers, and vintages to the authorization list • Ensure accurate customer credit records are maintained • Review on-hand inventory at store level to eliminate voids • Process and communicate all tasting details to the Sales Consultant. Requirements • Demonstrated proficiency in Sales and Data Entry • Comprehensive understanding of Office Functions • Ability to generate detailed Reporting using Microsoft Excel • Experience in conducting Training sessions • Strong skills in Planning and Compliance • Familiarity with Invoice Review • Proficient in Microsoft Outlook • Experience in handling Deliveries • Ability to create Video Adjustments • Strong Prioritization skills • Experience in managing Authorizations • Onsite Coordination skills • Proficiency in using Zoom for virtual meetings • Ability to create and use Templates • Experience in creating Validation Plans • Proficiency in using Pivot Table in Excel • Excellent Written Communication skills • Experience in Replenishment of office supplies TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
