Position Purpose: The purpose of this position is to coordinate student services for Adult Basic and Secondary Education (ABSE) at Lane Community College, supporting enrollment, testing, student placement, and daily operations. The role focuses on implementing efficient processes to enhance recruitment, retention, and student success, while also assisting with training part-time staff to ensure effective service delivery. Essential Functions: Student and Customer Support and Services: Serve as a point of contact for current and prospective ABSE students, providing information about admissions, enrollment, orientation, and registration both in person and over the phone. Assist students with scheduling and registration, explaining class options, processing registration requests, and troubleshooting issues related to enrollment. Refer students to appropriate internal and external resources, including financial aid, advising, counseling, and career services. Maintain knowledge of admissions and testing processes in partner departments that our students frequently transition to such as Career Pathways and credit programs. Provide general information to students, staff, and the public on College, grant, and program requirements, resources available, scholarships, testing policies and procedures based on college policies and department procedures. Assist students with accessing records, resolving issues, and navigating student information systems. Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students. Data and Records Management: Process admissions, enrollment, and registration for new, continuing, and returning students. Utilize college databases and software (Banner, ARGOS, Google Suite, Excel) to maintain and track enrollment data, manage waitlists, and ensure compliance with federal and state grant requirements. Distribute and collect documents involved in enrollment and registration, student financial transactions, and student records using electronic and/or physical documents. Enter, edit, and reconcile data related to student testing, admissions, registration, and attendance in college databases. Conduct quality checks on data and resolve discrepancies by running reports and cross-checking data. Ensure accurate data input for grant compliance and reporting. Create and maintain accurate student records, including academic transcripts, schedules, and account statuses in both electronic and paper formats.
Administrative Support, Communication, and Collaboration: Collaborate with other college departments to resolve student-related issues, using email, phone, and virtual communication tools. Update the department’s website, forms and documents related to student services. Update Student Services Staff on enrollment changes such as class cancellations, addition of sections, etc. including college policy and procedural updates/changes. Update and forms and documents related to enrollment/registration with office software/applications such as Microsoft Office and Google Drive. Use a current digital tools and software to streamline administrative tasks, communication, and student support. Coordinate day-to-day activities of the ABSE student services office. Participate in department planning and meetings, contributing to the development of new procedures and systems. Develop publicity material and displays for marketing campaigns, presentations and special events.
Team Leadership and Staff Development: Coordinate the hiring and training of part-time student services staff, ensuring they are well-versed in department policies and procedures. Create and update training materials and procedures documents, delivering them through screencasts, presentations, and shadowing. Provide ongoing support to staff, assisting with troubleshooting and problem-solving as needed. Coordinate with department Project Coordinator to lead hourly student services staff scheduling.
Testing and Assessment Administration: Work closely with Administrative & Technology Specialist to manage testing schedules, maintain testing materials, lead instructor and student CASAS/GED testing communications, and ensure compliance with state and federal guidelines for adult education testing. Assist with the administration of CASAS (Comprehensive Adult Student Assessment Systems) testing for new, continuing, and returning students. Ensure proper scheduling, setup, and proctoring of assessments. Monitor testing sessions to maintain the integrity and security of the exams, ensuring that all protocols are followed according to CASAS guidelines. Coordinate with the Administrative & Technology Specialist to support instructor and student CASAS/GED testing communications.

Monitor testing sessions to maintain the integrity and security of the exams, ensuring that all protocols are followed according to CASAS guidelines. Supervision Statement: Reports to and works under the overall policy guidance of the College and Career Foundations Division Dean. Work is performed independently based on knowledge of office and Lane policies and procedures. A Project Coordinator provides daily supervision of work, including planning and coordinating the work and is available to answer questions and troubleshoot problems on a daily basis. Work is reviewed by observation of the efficient and effective coordination of support services and for the quality of service provided to students. This position has the responsibility to assign tasks, provide priorities, train and check the work of student assistants, hourly employees and volunteers.
