Administrative Coordinator (Chinse-Cantonese Speaking)

Your role includes ensuring compliance with RMC policies, keeping the regional office informed, and working with various senior executives. Key Responsibilities: Accounts Receivable: Collect and post cash receipts (checks/money orders) using Yardi/RealPage. Process deposits and manage tenant billing, making adjustments as needed. Review monthly A/R reports for accuracy. Prepare and manage reports and assist with commercial lease abstracts. Follow up on legal cases, including court appearances if necessary. Accounts Payable: Maintain vendor relations and process invoices on time. Manage petty cash and ensure up-to-date vendor files. Forward coded invoices to Accounts Payable and get approval for large expenditures. General Office Administration: Maintain office hours and keep accurate tenant data and files. Prepare communications and work closely with the Resident Manager. Handle incident reports, violation letters, and occupancy changes. Oversee registrations, certifications, and software licensing. Owner Relations: Liaise between owners and the Board to ensure good relationships. Address and resolve owner complaints professionally. Communicate work-order status and extermination schedules with the Resident Manager. Manage health club services if applicable. Owner Requests: Process resale, rental, and refinancing requests per Board requirements. Review and coordinate owner alteration requests, track compliance, and manage associated charges. Compensation: $60,000 - $68,000 + Discretionary Bonus #LI-NG1 #RMC #LUXNYFL Qualifications Experience: Minimum of 2 years in an administrative or clerical role, with a focus on organization, coordination, and responsible performance of duties. Availability: Must be willing and available to attend board meetings outside of regular business hours, including evenings or early mornings, on a monthly basis for each condo building as needed. Communication Skills: Excellent verbal and written communication skills required. Fluency in Chinese or Mandarin is essential. Building Operations Knowledge: Basic understanding of building operations is required. Organizational Skills: Strong multi-tasking and time management abilities. Excellent organizational skills, including experience with filing systems and record keeping. Computer Skills: Proficient in desktop computer use and familiar with software packages such as Microsoft Word, Excel, PowerPoint, Outlook, and Project. Knowledge of additional software programs is a plus. Purchasing Experience: Experience or exposure to purchasing is an advantage. Learning and Adaptability: Ability and commitment to quickly learn new material and upgrade skills. Professionalism: Proven ability to work effectively and professionally within a diverse group and dynamic environment.
