The Department of Pediatrics is recruiting for part-time Administrative Coordinator to act as a Fellowship Program Coordinator.

Function/Duties of Position

The Fellowship Program Coordinator (PC) works closely with the Program Directors of two Pediatric fellowship training programs to maintain the educational quality and ensure compliance with ACGME accreditation and other regulatory requirements. This position involves working collaboratively with the Program Directors in developing program policies and procedures; reviewing program operations for compliance; recommending process improvements; and communicating with fellows, faculty, and staff about program policies and procedures. 

 

The PC is responsible for the operational administration of the programs, including (but not limited to):

supporting fellows and answering questions regarding requirements, and policiesmanaging all aspects of the fellow recruitment process, including planning the application review process, communicating with applicants, and planning and organizing interview daysorganizing educational activities for each program and for individual fellowsmanaging the evaluation processes for fellows, faculty, rotations, and the program overall preparing financial reports, payments, and reimbursementsmaintaining program data and preparing program materials

This position reports directly to the Director of Education Programs in the Department of Pediatrics, with oversight from the associated Fellowship Program Directors and Associate Program Directors. This position also works closely with the fellows and faculty in each program, as well as with other department fellowship coordinators and education staff team. 

 

The position requires a thorough knowledge of national and state accreditation policies and hospital/institutional policies, and the ability to interpret and apply those policies to ensure program compliance. The position also requires a high degree of initiative, strong attention to detail, independent judgment, and collaborative skills.  

Required Qualifications Four years of general office or secretarial experience; OR An Associate’s degree or certificate in office occupations or office  echnology AND two years of general office or secretarial experience; OR A Bachelor’s degree AND two years of general office or secretarial  experience; OR An equivalent combination of training and experience.Experience administering or coordinating parts or subsets of a project or program.Excellent organizational skills with clear attention to detail.Strong communication skills, with the ability to succinctly and accurately convey complex information.Solution-oriented, with an ability to develop processes and procedures.Proactive and self-motivated. Ability to work independently with little guidance, as well as determine solutions to problems.Intermediate level in Microsoft Excel, Word, and Outlook, and video-conferencing platforms. Preferred Qualifications Prior work experience in higher education and/or training programs, preferably at an academic medical center. Prior experience working with faculty and trainees.Experience administratively supporting educational programs.Proficient with MedHub, WebEx, and MS Teams.Training Administrators of Graduate Medical Education certification (C-TAGME) or similar certification Additional Details
