Administrative Coordinator I provides administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance.

Other Factors: This position may require work beyond normal office hours and/or work on weekends. This position allows alternate work location per TAMU guidelines. Persons in this position should have the ability to travel to conferences or meetings and stay overnight to coordinate events hosted by the department. This position may direct and/or evaluate the work of others.
Required Education and Experience
+ Bachelor's degree or equivalent combination of education and experience
+ Two years of experience in office administration

Responsibilities
+ Meetings and Event Coordination: Analyzes requirements for projects or initiatives. Coordinates meetings, seminars, and other special events and provide on-site support. Orders refreshments and participates in meeting room set-up and clean-up. Serves as liaison to Departmental Seminar Coordinator to coordinate Medical Physiology Seminar series and Journal Clubs. Coordination includes securing venues, scheduling conference rooms, ordering and set-up of refreshments for meetings, preparing and disseminating seminar flyers and itineraries, ordering event supplies and swag, coordinating support with other administrative staff, and provide onsite support. Coordinates guest travel arrangements and prepares itineraries. Coordinate with vendors and others in the delivery and support for systems and services. Process guest travel and expense reports through Concur.
+ Administrative Support: Participates in the planning and execution of administrative operations. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures. Coordinates the maintenance of department electronic files related to administrative processes and procedures. Creates and manages Doodle Polls to assist the Department Head and Faculty in scheduling meetings and creates RSVP electronic forms. Makes room reservations for departmental meetings using AdAstra. Coordinates the maintenance of department electronic files related to administrative processes and procedures. Develops administrative and technical procedures. Uses initiative in facilitating daily office support activities on the Bryan Campus to include research and analysis of administrative policies for compliance. Makes recommendations for process improvements administrative changes or new initiatives. Monitors compliance with policies and procedures. Hires, trains and supervises student employees. Provide input on the hiring of support staff. Provides technical information regarding administrative procedures, services, or programs.
+ Information Management: Maintains departmental social media presence in coordination with departmental faculty and staff from College of Medicine Marketing and Communications Office. Compiles detailed departmental data as request by the Department Head, other departments, system components and national agencies. Disseminates information and notifications to departmental personnel and produce departmental newsletter and informational flyers for departmental use.
+ Departmental Liaison: Assists Administrative Coordinator I with Department Head Outlook calendar, Faculty processes in systems Interfolio and Faculty Affairs Portal, and Adobe Sign, and acts as back-up when Administrative Coordinator I is out of office. Processes Academic Collaboration packets for undergraduate students participating in research lab for course credit. Processes H-1B, J-1 and other visas in support of Visiting Scholars and employees. Serves as Departmental Contact for: Parking, Facilities Work Orders, First Report of Injury, Training assignments through TrainTraq. Acts as HR Liaison.
+ Other Duties: Performs other duties as assigned.
