The Administrative Coordinator II manages administrative support for The Department of Educational Psychology (EPSY) exercising discretion and independent judgement with respect to matters of significance. The ideal candidate is able to multi-task and set priorities as you'll be responsible for managing contact lists, updating procedural handbooks, and coordinating work orders, events, and office supplies. Your communications skills will shine as you handle visitor greetings, phone calls, travel arrangements, and provide technical administrative support. Additionally, you will support the Executive Assistant, manage awards, office space, daily operations, and handle room scheduling and key access.
Responsibilities
+ Administrative Support Coordination - manages contact lists, updates the Office Procedures Handbook, coordinates work orders and events, handles ID cards, greets visitors, and manages calls. Will also handle travel arrangements and reports, review documents, attend meetings on behalf of the supervisor, provide technical administrative info, perform analyses, make process improvement recommendations, and ensure policy compliance. Support the Executive Assistant, manage the Department Awards Program and office space, and oversee daily operations.
+ Provide Department Assistance - Serves as the department's Parking Representative (DPR), coordinates departmental mail services, and monitors office procedures. Act as the office manager, handling telecommunications, facilities, and maintenance requests. Serves as the point of contact for room scheduling, key control, and keyless access and oversee the staff office meeting schedule and update the department's directory.
+ Provide Customer Assistance - May participate in the hiring training, and supervision of student workers. Serves as a resource for answering questions regarding department procedures. Assists with university records management and retention. Considered Essential Personnel as Main Office Contact and may perform other duties as assigned.
Qualifications
Required Education and Experience
+ Bachelor's degree or equivalent combination of education and experience.
+ Three years of experience in office administration.
Preferred Qualifications
+ Experience with access and maintenance of confidential information.
Knowledge, Skills, and Abilities
+ Experience with Microsoft Teams and survey tools
+ Knowledge of word, spreadsheet, database, and presentation applications
+ Planning and organizational skills with effective interpersonal verbal and written communication skills
