Administrative Coordinator III
GENERAL PURPOSE: Type correspondence, reports, and other materials. Conduct information retrieval and data entry. Compile, organize, and maintain records of business transactions. Maintain moderately complex indexes and files. Open, sort and route incoming mail, answer correspondence and prepare outgoing mail. Maintain and update filing, inventory, mailing and database systems. Operate office machines; photocopiers and scanners, facsimile machines, voice mail systems and personal computers. Complete and mail bills, contracts, policies, invoices and checks. Compile, copy, sort, and file records of office activities. Answer phones, direct calls and take messages. Often provides work direction to lower level support employees. **RESPONSIBILITIES:** + Process Application (HRMS)/ Applicant / Maintains and Monitor ¿ 40% + Monitors calendar to ensure applicants report to office after physical to collect all required documentation from applicant. Directs applicant on next steps of required process of employment (report to parking and ID office and directs them to report to HR) + Ensures all hired paperwork is submitted + current BLS card - & signed offer letter + Monitors new hires files for completeness + Notifies applicant of any outstanding documentation that is needed prior to starting + Application report will be printed off and reviewed by Director ¿ using report complete the following: + Print off offer letter (received from Sovie Center) + Record information in NPD database + Disposition in HRMS + Print off OIG/GSA (K-checks) + Record in Orientation book + Give to appropriate Nurse Recruiter + Print off online applications daily + Enter applicant information into database (NPD) + Establish applicant file + Check NPD database if previously applied ¿ Previous applicant ¿ pull breakdown file and include with new documentation submitted + Check internet (NYS website) for appropriate license + Rehires ¿ pull previous file from Nursing Time Management + Disposition applicant file in HRMS accordingly + Distribute files to appropriate Nurse Recruiter + Copy and mail hire paperwork ¿ file accordingly ¿ internal applicants email copy of offer letter to appropriate Nurse Manager + Backup for processing RBA forms + Monitors returned RBA ¿ match returned form with original submit ¿ staple together and file in appropriate file **Receptionist / Phones ¿ 20%** + Greet all visitors for Nursing Recruitment Office + Track applicants who are shadowing for day + Contact any applicant that has not reported to office and notifies director + Telephone coverage ¿ (main switchboard) approximately 10 phone lines ¿ Michelle is back up after third ring + Receive messages for co-workers + Assist applicants that encounter problems with online application and trouble shoot to help resolve issue + Back up coverage for Administrator ¿ re: offer letters **Postings: - 20%** + Coordinate postings daily for Sovie Center (APPs) + Post new position and close out completed positions via HRMS for APPs ¿ Information regarding posting and closing positions will be received from the Sovie Center. + Close posting for all RNs, Surg Techs; RTs and summer students ¿ will receive request from Director of Nursing Recruitment + Back up coverage for Administrator for all postings + Save all jobs daily to Kentico at end of day **Calendar / Supplies ¿ 15%** + Schedule pre-employment physical appointment via online calendar and schedules I9 appointment with HR + Maintain and enters pre-employment physical in book + Email applicant directions for reporting for the PEP + Interfaces with Employee Health + Follow up with applicant if necessary, regarding drug screen + Ensures forms are replenished as needed + Orders office supplies via Workday + Ensure most up to date forms are being utilized + Pick up / distribute office mail (Thursday) ¿ every other month starting April **Additional Responsibilities - 5%** + Assist Nurse Recruiters if needed + Process APPs Offer Letters (NP/PA) + Print off offer letter (received from Sovie Center) + Record information in NPD database + Disposition in HRMS + Print off OIG/GSA (K-checks) + Record in Orientation book + Give to appropriate Nurse Recruiter **QUALIFICATIONS:** High School and two years relevant experience required.
