The Administrative Coordinator will be responsible for the administrative aspects of the graduate Physician Assistant Program, including creating student records, ordering supplies, drafting meeting agendas and minutes, preparing reports, organizing pre-matriculation requirements, room reservations, and managing Canvas course information. Additional responsibilities including serving as a liaison to University offices, receiving and greeting students, faculty, employees, and guests of the PA Program.
Essential Functions\:
•Works closely with Program Director and faculty to support the program and ensure compliance with all University and accrediting body requirements
•Assists with PA Program special events
•Serves as liaison to other departments within the University, particular the University Registrar, Admissions, Marketing, Facilities, and University IT
•Organizes department meetings, drafts meeting agendas, and records and distributes meeting minutes
•Translates didactic year schedules into necessary format for submission to IT for One45 upload
•Inputs evaluations into One45
•Collects course and lecturer evaluations at the conclusion of each course.
•Maintains attendance logs
•Organizes and maintains Canvas websites in coordination with faculty course directors
•Collects and monitors pre-matriculation requirements
•Processes invoices and obtain contracts as needed
•Assists with administrative needs for growth of PA program as directed by the Program Director
Required Education & Experience\:
Bachelor’s degree and at least one year of administrative support experience. An equivalent combination of education and experience may be considered. Experience providing program support in an academic setting is preferred. An equivalent combination of education and experience may be considered.
Required Skills & Abilities\:
*Strong computer skills – including experience with Microsoft 365.
*Excellent written and oral communication skills.
*Excellent interpersonal and collaborative skills, along with the ability to interact with a diverse population of administrators, faculty and students.
*Demonstrates organization and prioritization skills
*Problem solving skills.
Preferred
*Experience in higher education or medical setting and have experience with physician assistants.
