Description
A nonprofit client is seeking a proactive and detail-oriented Administrative Support Professional to join their Legal Department on a contract basis for 1-2 months. This is an onsite role where you will support the legal team by managing incoming calls, addressing inquiries related to immigration, and providing administrative assistance as needed.
The ideal candidate will be bilingual in Spanish and English, have excellent communication skills, and be comfortable working in a fast-paced environment providing support to individuals navigating sensitive immigration-related matters.
Key Responsibilities:
+ Answer and screen incoming calls to the legal department, providing basic information and responding to questions related to immigration services.
+ Route calls to the appropriate legal staff members and follow up with callers as needed to ensure excellent customer service.
+ Maintain accurate and organized records of calls, inquiries, and follow-ups.
+ Assist in managing schedules, appointments, and administrative tasks for the legal team.
+ Provide translation support (verbal and written) for Spanish-speaking clients to facilitate clear communication.
+ Ensure that sensitive information is handled with the highest level of confidentiality and professionalism.
+ Support the legal department with filing, data entry, and document organization.
+ Help improve office workflows by identifying ways to streamline administrative processes.
Requirements
+ Bilingual proficiency in Spanish and English is required (both written and verbal).
+ High school diploma or equivalent; additional coursework or certifications in legal, administrative, or customer support fields are a plus.
+ 1-2 years of experience in an administrative support, legal assistance, or customer-facing role (nonprofit experience is a plus).
+ Strong communication skills, with the ability to effectively address questions and concerns from a diverse community.
+ Excellent organizational skills and attention to detail, especially for managing sensitive legal inquiries and records.
+ Ability to work independently and manage priorities in a dynamic and fast-paced environment.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., phone systems, printers).
+ Experience working with legal documentation or knowledge of immigration processes is highly desirable.
+ A compassionate, patient, and professional demeanor when working with individuals dealing with sensitive situations.
