Description/Job Summary Position Summary - Administrative Managerr Oversees employees in the Administrative Office to include: coordinating workflow, administrative duties, ADP Vantage Payroll, Human Resources, Accounts Payable, Vendor Supply ordering and Training requirements. Conduct contract requirement for 633d Force Support Squadron. This position is considered a key position and reports directly to the President. Position Accountabilities The following are essential job accountabilities: + Manages and oversees all Phillips Enterprises administrative duties. + Responsible for processing the ADP bi-weekly payroll and ensures employees are paid correctly. Overseas the administrative duties of the Payroll and HR to include: enter new hires, input all changes, i.e. job title changes, rate changes, address, taxes, and auto deposit into the ADP HR system bi-weekly. + Completes E-Verify (1-9 form) on line. + Processes account payable invoices weekly in Bill.com website for payment to include preparing the insurance invoices for Boon Group and Aetna. + Ensures vendor orders are placed when needed and processed for payment. + Post job opening in BalanceTrak.com as positions become vacant. Schedule interviews for Project Manager to conduct interviews. + Process employment verification forms. + Completes Virginia Employment Commission (VEC) Separation Notices as required. + Ensures employees complete out-process actions when applicable. + Communicates and informs managers of company policies and procedure changes. + Identifies qualified personnel and resources to comply with contractual manning requirements. + Complies with all Federal and state labor laws and regulations as well as Phillips Enterprises, LLC policies and procedures. + Interacts with Government counterparts and key managers in fostering teamwork and ensuring administrative goals and objectives are understood and implemented. + Trains, mentors, and enhances the performance of co-workers and other personnel. + Ensures managers comply with the projects requirements for 90 day probationary period and employee counseling to include the progressive discipline program. + Conducts training related to Company policies, procedures, and site-specific customer requirements. + Ensures compliance with all company work rules and policies. + Favorably interacts with internal/external customers. + Performs other duties as assigned by the Company President. + This job description is indicative of the work required for the position, but is not all inclusive of the work required to perform the duties of the position. Position Qualifications Minimum Education: + Bachelor's Degree from an accredited college or university; four years educational requirement may be waived in lieu of extensive experience. Minimum two year Associates Degree is mandatory. Minimum Experience: + Within the past 10 years, at least 8 years experience in Business, including Payroll, Office Administration, SCA Labor Relations/Affirmative Action/Equal Employment Opportunity compliance. + Must be familiar with Office Automation system/equipment. + Experience with Government projects and requirements. + Knowledge of state, federal government labor laws. + Knowledge of Collective Bargaining Agreement (CBA) is desired. Field of Expertise: + Administrative skills, Payroll/Human Resources and Customer Service. Skills: Administrative: + Must be able to speak, read and write English fluently. + Must have basic knowledge of computers (Microsoft Word, Excel, PowerPoint) ; and familiar with ADP Vantage Payroll system is desired. + Planning, scheduling and coordinating administrative duties for Administrative office personnel. Mental Requisites: + Required to work under stressful circumstances and meet short suspense dates. + May be required, on an as-needed basis, to assist or perform in other management, supervisory or special assignments. + Perform other duties as assigned. Supervisory Experience: + Three (3) years in a supervisory or management role; may be waived upon demonstrated skill and knowledge. Physical Demands: + Must be free of medical restrictions/limitations that prevent the performance of the required duties. + Must utilize proper lifting procedures and practices. + May be required to work uncommon hours, extended hours, nights, weekends and holidays. Unique Qualifications: + Must be a citizen of the United States or be authorized to work in the United States. + Must pass pre-employment drug screening and background check. + Must posses a NAC Security clearance or the ability to acquire it. + Must possess a valid driver's license and be able to obtain a military operator's permit if required. Exempt position - Salary Range: 45,000 - 65,000 Work Hours: Monday - Friday (7:30 am - 4:00 pm) Benefits Incude: Vacation, Sick, Holidays, and Health Insurance
