The Administrative Officer (AO) is a one year term role, which assumes substantial independent management of complex operations in the Department of Linguistics within the College of Arts and Sciences, supporting the work of the Department through financial administration management, HR support, and management of the Department’s overall administration. The position manages the financial operations including overseeing budget management, payroll reconciliation, purchasing and accounts payable matters, grant and internal/institutional research support, etc. The AO also creates and submits financial transactions (including reimbursements and overseeing reimbursements done by the Business Manager and cost transfers) and submits procurement and contract requests to the College of Arts & Sciences Procurement Analyst. The AO supports faculty and oversees the Business Manager’s support of select research grant-related activities, including purchases and hiring contractors, and manages finances for the Friday speaker series and other guest speakers (i.e., honoraria, travel). Managing the administration and financial planning for Linguistics Department sponsored conferences, including specifically the annual international Georgetown University Round Table on Languages and Linguistics (GURT), additional duties include, but are not limited to: + Act as the management contact to assist the College of Arts & Sciences Finance Team on regular reconciliation and budget planning activities, with some of the Linguistics department being externally funded, and therefore grants management is a key part of the position which includes overseeing and carrying out grants administration where necessary. + Oversee the human resources and faculty appointment processes to provide day-to-day support and ensure the continuity of faculty, postdoctoral fellows, staff and students in the department. + Support various personnel activities including recruitment of students and staff, onboarding, annual staff reviews, policy compliance, and terminations. + Manage HR for all appointments, including hiring paperwork for new adjuncts, postdoctoral scholars, new TL and NTL faculty, and visiting researchers. + Manage all aspects of financial operations for the department including the procurement of supplies and services, purchase orders, contracts, ProCards and expense report creation and submissions, reimbursements, journal entries and cost transfer requests. + Work with faculty and departmental support staff on the management of internal/institutional and philanthropically supported research funds (such as start-up and IDC accounts) and JORA on externally funded grants related budget tracking and reimbursements. + Maintain records for all staff and faculty hires/appointments, term renewals, costing allocations, terminations, etc. in GMS, Box and other databases as needed. + Complete documentation to maintain accurate records and continuity of all faculty and staff, providing administrative support to the Department Chair and faculty. + Provide training and coordinating tasks for other administrative staff as needed. + Analyze and interpret applicable regulations, guidelines and standards, providing expert advice to faculty and staff. + Oversee hiring processes and paperwork for all hires including faculty, instructors, student workers, and graduate teaching assistants. Work Interactions The AO is one of the main portals into the department and the AO must be prepared to meet and interact with all persons and organizations that have business with the department. The AO must work efficiently and maintain good working relations with the faculty and staff in order to support all research, instructional and service missions in the department. Professionalism, cordial relationships and helpful attitudes are essential in the operations of the department. The AO serves as the lead within the department on all financial and administrative tasks, including being a resource for training and task allocation to other administrative staff within the department. The AO works most closely with the Department Chair to oversee the daily operations and implementation of short and long-term plans and has a dotted reporting line into the College of Arts & Sciences Dean’s Office designee. The position will also frequently interact with the Dean’s Office, Provost’s Office, Registrar, University Information Services, Office of Global Services, Graduate services, JORA and other partner offices. The Administrative Officer maintains professional, cordial working relationships with all members of the department and all others who visit and conduct business with the department in support of the research, instructional and service missions of the unit. Requirements and Qualifications + Bachelor’s degree with at least 3 years of professional work experience – preferably in an academic setting along with prior experience with budget and grants management + Experience in managing administrative operations, leadership and budgetary oversight + Proficiency in Microsoft Office Suite, including Excel (e.g., pivot tables, VLOOKUPs, macros) and experience and/or familiarity with managing database queries + Strong communication skills and positive attitude + Ability to learn quickly and be resourceful + Ability to work both independently and collaboratively + CourseLeaf, Cognos, and Workday (Georgetown Management System) system or similar experience preferred + Knowledge of Georgetown University financial and human resources procedures or similar preferred + The AO should have experience in the types of work involved in administering and managing a university department and all accompanying duties including purchasing, ordering, scheduling and reporting Work Mode Designation This position has been designated as Hybrid 4 Days. Pay Range: The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: $47,586.00 - $87,558.13 Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
