Role: Administrative Officer
Location: Sheffield S3 8WA

Working Hours: Full time, Monday to Friday: 9:00 to 17:00, 37 hours per week, on-site
Contract: Temporary, 6-months with the possibility of extension based on performance and demand
Pay Rate: £12.84 per hour

Brook Street in partnership with the Home Office has a fantastic opportunity to join the Customer Services Group within the Home Office working as part of the Visas, Status, and Information Services command as an Administrative Officer.

The Customer Services Group brings together Asylum & Human Rights, Asylum Support and Dispersal, Asylum Accommodation Centres, Resettlement Group, Passports, Citizenship & Civil Registration, Customer Operations Support Services and UK Visas & Immigration. As a major operational arm of the Home Office, we play a vital role in supporting the economy and cultural life of the UK.
Visits and Electronic Travel Authorisation (VIETA) is part of Visas, Status and Information Services (VSI) within UK Visas & Immigration and is responsible for the following services:

Visits: Responsible for the administration and decision making of new applications for all types of visitor visas from overseas as well as in country applications for extensions to visit visas. Visits also handle other assorted administrative functions around visas.

Electronic Travel Authorisation (ETA): ETA are responsible for the operational processing of exceptions casework related to customers who have applied to obtain an ETA prior to travelling to the UK and the end to end customer journey of all ETA customers.


Successful candidates will be posted to either of the above teams, which have a variety of roles within different areas, as set out below.

The Administrative Officer role is flexible and can include work in a variety of different business areas.
Roles include, but are not limited to:

Casework - including assessing documentation provided by customers and making robust and well-judged decision on visa applications.

Workflow - including data entry activities and providing administrative support at various stages of the customer journey to ensure deliver of an efficient service.

Correspondence - including reviewing incoming/outgoing customer correspondence comprising of emails/post and ensure that it is handled in accordance with the provided guidance.

Candidates will need to work flexibly and adapt to varying roles across different business areas. Successful candidates are expected to dress appropriately for a formal office workplace environment.

Key Duties

The below list is not exhaustive. Duties will vary according to business need.

Tasks may include:

Use complex guidance and policy to consider and make well-judged decisions on customer applications in line with the immigration rules. Work at pace to meet productivity and quality targets.Record complex and sensitive data accurately on a variety of IT systems, in accordance with data protection guidelines.Articulate complex decisions in a concise, clear manner verbally and in writing.Working well within a team to deliver performance of a high standard and excellent customer service.Handle customer correspondence via post or email, ensuring that it is dealt with in accordance with the process guides. Ensure that correspondence is stored and shared appropriately and produce high quality, informative responses. Uphold the integrity of the department, displaying a professional standard of behaviour at all times and ensuring that timecards or overtime claims are submitted accurately.

Essential Skills & Criteria

Excellent attention to detail and strong written and verbal communication skills.Strong IT skills, including being proficient in the use of MS Office packages including Word, Excel, and OutlookTime management, including ensuring that you complete and record your allotted daily working hours accurately. You will be required to undertake security clearance and a basic DBS for these roles, and it is imperative that you have lived in the UK for the last 5 years, hold a valid passport and be able to provide two proofs of current address documents and a proof of national insurance document in order to apply for this role.

Training

No holidays within the first 4 weeks. Virtual and/or face-to-face training will be delivered, and on-line/peer/manager guidance will be provided.
