Summary About the Position: As an Administrative Officer, you will oversee and manage essential administrative support functions critical to the organization's success. Your responsibilities include synchronizing activities, ensuring effective communication, and establishing systems that promote efficient workflows and alignment with organizational objectives. This position requires the ability to effectively manage people, time, and priorities to drive productivity and support the organization's goals. Responsibilities Lead coordination and management of senior leader visits by organizing itineraries, preparing briefing books, compiling materials, managing VIP protocols, and completing follow-up actions. Plan and oversee large-scale internal events such as Change of Command ceremonies, executive meetings, and district-wide engagements. Synchronize executive-level calendars to identify opportunities, address threats, and resolve scheduling conflicts. Promote district culture and recognition programs by managing initiatives like Employee of the Month, Supervisor of the Quarter, and district awards. Develop and oversee the Executive Office budget by preparing, monitoring, justifying funding requirements, and managing approvals as necessary. Establish and maintain Standard Operating Procedures (SOPs) to ensure consistency and efficiency in Executive Office administrative processes. Manage office information flow by reviewing documents and keeping the Command group informed of critical developments. You will receive credit for all qualifying experience, including volunteer experience. To qualify at the GS-11 grade level, you must have: Specialized Experience: One year of specialized experience which includes planning and providing management and program services for operational activities of an office; establishing internal procedures to promote efficiencies to overcome obstacles in the administrative process; providing administrative support to a program or organization (e.g., procuring supplies or services, initiating human resource hiring actions, payroll administration, coordinating travel arrangements, etc.); managing and conducting administrative functions involving various programs; analysis and evaluation on projects or mission objectives; and working with and providing program and technical support to leadership and staff members in gathering data and producing reports. (GS-09) OR Education: A Ph.D. or equivalent doctoral degree, or three full years of progressively higher-level graduate education leading to such a degree, or LL.M., if related to the duties of the position. OR Combination of Education and Experience: Combinations of successfully completed graduate level education in excess of the amount required for the next lower grade level may be used to qualify applicants for this position. Determine your total qualifying experience as a percentage of the experience required for the grade level; then determine your education as a percentage of the education required for the grade the grade level; then add the two percentages. The total percentage must equal 100 percent to qualify for this position. (To compute the percentage, divide you total months of qualifying experience by 12. Then divide your semester hours of graduate education by 18. Add the two percentages. The total percentage must equal at least 100 percent to qualify). Education FOREIGN EDUCATION: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
