Salary Range: $48,476-$63,624/year. The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.

 


Job Summary:

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.  

Reporting directly on a day to day basis to the Administrative Coordinator, Department of Obstetrics & Gynaecology and Division of Maternal Fetal Medicine, the administrative secretary is responsible for providing administrative support within the Department of Obstetrics and Division of Maternal Fetal Medicine. A collaborative service focus is important as this position relates to many internal and external customers.

The secretary supports the administrative work of Department and Division members in achieving the academic, clinical, administrative and research objectives.   In addition, there is a requirement to participate as one of the administrative team members and adhere to Agency and Department policies and procedures.

Confidential matters can be diverse; therefore, tact and diplomacy need to be exercised at all times.  Initiative, judgment, problem solving skills as well as excellent communication skills are necessary.  Competing and conflicting demands require the ability to work under time pressures.

Duties/Accountabilities:

•    Schedules and maintains outlook calendar; processes financial requisitions, co-coordinates meetings, books conference leave, flights and hotels.
•    Provides other administrative support to Department and Division members, inclusive of management team.
•    Processes a variety of correspondence from written and dictated sources and uses software applications as required.
•    Provides administrative relief within the Department and Division as required.  
•    Attends meetings and in-services as required.
•    Performs other duties as appropriate to the support of the Department of the Obstetrics and Gynaecology and Division of Maternal Fetal Medicine.

Qualifications:

A level of education, training, and experience equivalent to Grade 12 plus graduation from a formal administrative program plus 3 years recent related experience in a health care environment. Ability to work independently and during significant levels of interruptions. Ability to multi-talk and prioritize. Proven professional attitude at the highest degree. Demonstrated flexibility to meet and adapt to changes in organizational priorities and work under time pressures to meet deadlines. Demonstrated ability to communicate effectively both verbally and in writing. Demonstrated ability to demonstrate tact and discretion in preparing, disclosing, and handling information of a confidential and/or sensitive nature. Demonstrated physical ability to carry out duties of the position.
