Our long-standing government client in Oceanside is seeking a professional and dependable Administrative Secretary to join their team. This is a crucial role that requires someone who is highly organized, detail-oriented, and capable of providing high-level administrative support to department heads, staff, and stakeholders. If you are a skilled communicator and a team player with a strong sense of discretion, this could be the perfect role for you! In this position, you will work closely with leadership to manage schedules, coordinate meetings, and support the operational goals of the department. The Administrative Secretary role is also ideal for those who have experience in public sector environments and thrive in roles that require adaptability and strong organizational skills.
Responsibilities:
+ Provide administrative support to department leadership by managing correspondence, scheduling appointments, and organizing meetings.
+ Prepare and proofread documents, including staff reports, memoranda, meeting minutes, and presentations.
+ Act as a liaison between staff, other departments, and external stakeholders, ensuring smooth communication and information flow.
+ Manage and maintain departmental records, databases, and filing systems with precision and confidentiality.
+ Oversee procurement for the department by processing purchase requests and managing vendor relationships.
+ Assist in preparing budgets, processing invoices, and maintaining financial records.
+ Provide logistical support for government meetings, public hearings, and special events, including preparation of materials and arranging for necessary resources.
Requirements
+ High school diploma required; an Associate’s or Bachelor’s degree in a related field is preferred.
+ 3+ years of administrative support experience, preferably in a government or public sector environment.
+ Exceptional verbal and written communication skills.
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with learning government software systems.
+ Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
+ Familiarity with government regulations, policies, and procedures is a strong advantage.
