Required License/Registration/Certification None. Physical Requirements Sitting for long periods of time at a computer. Shift Monday – Friday, 8:00 am – 5:00 pm. Job Summary Working under the supervision of the Associate Dean, this position supports faculty, staff and students by coordinating planned College of Dentistry events such as White Coat and Hooding ceremonies, Scholarship Luncheons, Awards Banquets, ASDA Day and Orientation. Logistical planning includes meals, presenters, equipment, and materials. The event coordinator will arrange venues and/or vendors for events and negotiate contracts and rate agreements in accordance with budget parameters. They will also provide on-site coordination for both in-person and virtual events, troubleshoots issues as they arise, manage participant list, and maintain event related records in accordance with University, department and College of Dentistry guidelines. Proficient with virtual platform helpful.

In addition to event assistance, this position will also provide administrative assistance to the Office of Academic and Student Affairs. Duties include answering phones, directing students, faculty, and visitors in the college, assisting with room reservations, and supporting student organizations. When not assisting with events, duties include producing various publications for the college, such as the Student Handbook, Student Directory, and programs for the White Coat and Hooding ceremonies. The event coordinator will also be responsible for supply orders, processing Payment Request Documents, deposits through SAP and room reservations. Periodically, the event coordinator will assist with Alumni and Continuing Education events. Skills / Knowledge / Abilities Microsoft, Desk Top Publishing, Web Page Software, Event Planning and Logistics. Does this position have supervisory responsibilities?
