The Administrative Services Coordinator I will provide general and specific administrative clerical functions to ensure efficient and effective operations within the Department of Neurology and Developmental Medicine.  

Responsibilities Manage all incoming telephone calls. Appropriately direct calls, take messages, and return calls to answer inquiries/questions at the direction of the providers.Assist providers with completing prescription requests, faxing them to the appropriate place, or mailing them out to the appropriate person.  Review charts versus the schedule before clinic(s) and order missing charts or last medical notes if necessary.  Retrieve x-rays, and medical records, for patients being seen as requested by providers.Track all new and follow up patients using the scheduling system and work with providers and Care Centers to ensure proper scheduling related to the patients’ needs.  Maintain provider schedules for completeness and keep them aware of changes.Maintain confidential filing system for patient information, sending out Zoom links and survey questionnaires for telehealth visits.Track, by spreadsheet system, all delinquent dictations on a weekly basis; provide assistance to providers in completion of all delinquencies.Type manuscripts, correspondence, and memos.Manage the Director’s calendar; schedule meetings, etc.Attend weekly meetings with providers to discuss patients and schedulingAssist in the preparation and set up for Department meetings, conferences, lectures, etc. and ensure timely and correct payments and reimbursements.   Qualifications

QUALIFICATIONS:

Proficiency with MS Office suite, including Access, PowerPoint, Excel and the ability to type accurately at 60+words per minute.Able to type 40-60 words per minuteProficient with business mathematicsA course in medical terminology is preferred.

 

EDUCATION:

High School Diploma required AA degree is desired

 

EXPERIENCE:

2 years relevant experience with office support, administrative experience, preferable in a hospital or academic environment.

 

Minimum pay range USD $38,906.40/Yr. Maximum pay range USD $63,990.78/Yr.
