The Administrative Specialist is a front desk position that includes a wide range of duties. This person controls access into the facility for staff, investigators and visitors, answers the main Division of Comparative Medicine telephone as well as the intercom system, and directs calls accordingly. This person also places orders for laboratory animals; prints cage cards. ADditional duties include, but are not limited to:

Order supplies and equipment.

Maintain training database information, sorting mail and performing other administrative office duties as listed below and as requested.

Encompass additional duties to support the new director to include calendar management, meeting schedules, document preparation and review, and other admin task as requested.

Work Interactions

The Administrative Specialist II position is a very important position as it provides administrative support for all staff members of the Division of Comparative Medicine as well as interacts daily with staff, principal investigators, technicians and visitors. The incumbent in this position is the first person people entering the facility interact with. The incumbent must be able to multi task; answering phones, greeting visitors, ascertaining what they need and direct accordingly. In addition, the incumbent is responsible for all weekly animal ordering and departmental supply orders as well as administrative duties. The incumbent will also support administrative functions for the director that requires scheduling meetings, managing calendar request, and document review and preparation. Excellent verbal, written and email communication skills are essential.

Requirements and Qualifications

Three to five years office experience, including answering telephones, meeting/greeting visitors, filing, photocopying, and typing letters and reports

Proficient working with Microsoft Word and Excel, and learning new electronic systems/programs

Ability to multi task with high attention to detail

Ability to work independently on daily tasks/responsibilities while enjoy interacting with the public

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$19.20 - $28.70

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
