Description
The Lee County Library System is seeking an enthusiastic and self-motivated Administrative Specialist, Senior to join our Library Administration team. In this role, you will provide vital administrative support and collaborate closely with all library branches to ensure efficient operations. The ideal candidate will be highly organized, detail-oriented, and possess strong time management skills with the ability to prioritize tasks effectively.
Compensation:
+ Expected hiring range is $25.00 - $31.00 hourly.
+ Offer based on competencies, experience, and internal equity.
Duties and Responsibilities
+ HR Collaboration: Work closely with Human Resources to manage and execute HR activities and functions with confidentiality, ensuring compliance with policies and procedures.
+ Hiring Support: Assist Human Resources with the recruitment process by providing support through NEOGOV, including job postings, applications, and onboarding procedures.
+ Payroll Administration: Manage payroll processing in the Kronos timekeeping system, ensuring accuracy and timely completion.
+ Personnel Actions: Create, track, and process various personnel actions, such as promotions, transfers, and status changes.
+ Leave Management: Coordinate with Human Resources to manage specialized leave requests, including Family Medical Leave Act (FMLA), Workers' Compensation, and other leave types, ensuring proper documentation and compliance.
+ Organizational Chart Maintenance: Maintain and update organizational charts, ensuring accurate reporting of employee structure and roles.
+ File Management: Keep employee files and personnel records up to date, ensuring all documentation is accurate and organized.
+ Report Preparation: Prepare and analyze reports from various data sources to assist with operational decision-making and reporting needs.
+ Material Distribution: Oversee the distribution of materials to library branches, ensuring timely and accurate delivery of necessary resources.
+ Customer Service: Answer phones, distribute mail, and respond to inquiries from staff, vendors, and the public with professionalism and efficiency.
+ File Retention: Assist with file retention and organization, ensuring that employee and departmental records are maintained according to policies.
+ Employee Scheduling: Schedule on-call employees as needed and ensure accurate timesheets are maintained for payroll purposes.
+ Meeting Space Coordination: Coordinate the scheduling and use of library meeting spaces for county departments and partner agencies.
+ Special Projects: Support and assist with special projects and other duties as assigned to meet organizational goals and priorities.
+ Additional Duties: Perform other administrative tasks as needed to support the library system's operations.
Education, Experience, Licensing
+ High School diploma or GED, supplemented by specialized coursework or training equivalent to one year of college in business administration, project or database management, or a related field.
+ Two years of office administration, clerical, customer service, meeting and event coordination, or project or database management experience .
+ A valid driver's license and acceptable driving record are required.

+ Experience using office equipment such as scanners, copiers, and computers.
+ This position requires a standard 80-hour bi-weekly schedule, Monday through Friday, from 8:00 AM to 5:00 PM. However, flexibility is required, as occasional evening, Saturday, or Sunday hours may be necessary.

Retirees of the Investment Plan are eligible for renewed membership in the Investment Plan only. FRS reemployment rules apply for both.
